JOB TITLE: Optical Telephone Representative

LOCATION: Corporate

DEPARTMENT: Optical Dispensary

REPORT TO: Optical Supervisor

FLSA STATUS: Full Time, Nonexempt, Hourly

SUMMARY

The Optical Telephone Representative is responsible for answering incoming telephone calls and appropriately responding based on the needs of the caller. This position is for a high-volume, fast-paced eyeglasses department.

JOB RESPONSIBILITIES

  • Front-line communication liaison between patient and Optical department.
  • Answers all calls in a prompt, professional, and polite matter.
  • Must professionally answer and direct/forward calls using the company approved phone system and collect accurate information regarding the reason for the call.
  • Performs all necessary phone/fax work regarding eyeglass prescriptions.
  • Helps obtain insurance authorizations and the ordering of optical supplies as requested.
  • Coordinates calls when eyeglasses are complete.
  • Checks-in patients for their optical appointment and directs patients to the next available optician for glasses ordering.
  • Uses electronic health record (EHR) messaging and task systems to notify coworkers, doctors, and/or technicians when additional action needs to be taken.
  • Handles basic clinic-wide inquiries about insurances accepted, office hours, services provided, locations, exam fees, doctor information, and directions.
  • Retrieves all answering service phone messages left for the optical division vigilantly throughout the day and organizes appropriate return phone communication.
  • Assists with the appearance of optical: displays, frames, and shelving are kept clean, and dispensing tables and main counters are disinfected often.
  • May aid in notifying contact lens patients that orders have arrived and may be picked up for dispensing.
  • Always maintains patient confidentiality and HIPAA regulations.
  • Assists in other clerical and requested duties as needed.

  • Contributes to the effective and efficient performance of the department for the practice.
  • Functions as a productive and positive member of the practice.
  • Conforms to all RMEC policies and procedures outlined in the Employee Handbook including punctuality, attendance, and dress codes.
  • Achieves cooperation and teamwork through effective communications and positive relations with staff.
  • Adheres to the company code of conduct.

WORK QUALITIES

Position requires excellent communication skills and an understanding of ophthalmic practice and patient care. Must demonstrate attention to detail and documentation. Must be even tempered, ethical, and good humored. Must interface with all RMEC departments, physicians, and personnel.

REQUIRED EDUCATION, LICENSURE, AND EXPERIENCE

  • High School Diploma or GED
  • Strong history of customer services experience
  • Proven skill in operating computers and answering multi-line phone system
  • Demonstrated listening skills as well as written and verbal communication skills
  • Must have a valid driver’s license, current auto insurance, and a reliable vehicle.
  • Must be able to pass a criminal background check, motor vehicle records check, drug screen, and Office of Inspector General (OIG) Exclusions Database Search.
  • Must be able to travel to other office locations as needed.

PHYSICAL/MENTAL JOB REQUIREMENTS

  • Must be able to carry and lift items weighing up to 25 pounds
  • Must be able to speak clearly in small group settings
  • This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing, and using small hand tools
  • This position could be exposed to loud noises, frequent phone conversations, and requires average to above average visual acuity and hearing
  • Most of this job will be spent indoors in a climate-controlled environment
  • Must be available to travel to other office locations as needed

SALARY RANGE: $14.42 to $15.42 an hour
