Position Summary – The Urgent Care Check-In position performs a variety of functions in the medical office involving general duties, including but not limited to greeting, registering, verifying insurance, and ensuring patient data is accurate, collecting patient co-payments, scanning and or uploading patient information to patient’s electronic charts and communicating messages. Check-In staff will work to ensure patient confidentiality in all instances while maintaining a pleasant and professional appearance and conduct. This position is be expected to work in a team atmosphere to provide excellent customer service in a professional environment.
Essential Duties and Responsibilities – The essential functions include, but are not limited to the following:
  • Exhibit an understanding and commitment to maintaining a friendly and welcoming environment that assures all who enter our practice including patients and guests, physicians, fellow co-workers, attorneys, and vendors are treated with dignity and respect
  • Optimize patients' satisfaction, provider time, and treatment room utilization by managing patient appointments on schedule, assist with completion of intake forms, notifying provider teams of arrival and/or reason for all delay in a timely manner
  • Comfort patients by anticipating patients' anxieties; answering patients' questions
  • Check-in scheduled patients and urgent care walk-ins
  • Maintain accurate patient records by obtaining, recording, and updating personal, referral and financial information
  • Run financial benefits for upcoming appointments
  • Interpret eligibility/verification documents regarding patient benefits
  • Scan all documents into patient’s chart in an efficient, accurate, timely manner
  • Accurately collect and record patient co-pay/co-insurance/financial responsibility
  • Ensure the daily charges are posted accordingly in the practice management system and the financial batch is balanced and completed per protocol
  • Assist Team lead/Manager with surgery quotes
  • Ensure patient confidentiality and respect for patient rights in all instances while maintaining a pleasant and professional conduct
  • Provide backup for other positions and functions in the medical office including medical records, check-out, patient referrals, etc.
  • Flexibility to perform any other job duties that might be requested by the providers or management to help the office run efficiently
Specifications/Qualifications (Knowledge, Skills, Abilities) – The person in this position must be friendly, personable, and comfortable interacting with new people and sometimes ill patients. Must enjoy interacting with people; be able to relate well to a variety of personalities; and ability to effectively present information in one-on-one and small group situations to patients, guests, and other employees of the organization. The employee must be able to handle multiple tasks quickly and accurately while showing the patient compassion for their individual situation.
Typical Physical Demands – The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Must be able to use a variety of office equipment including copiers, printers, and fax machines.
Work Environment – Reasonable accommodations may be made to enable individuals with disabilities to perform the functions. Ability to sit for prolonged periods of time and type on keyboard. Ability to adapt to rapidly changing environments while meeting our customer’s demands and deadlines.
Work Hours – This is an hourly full-time position, Monday through Friday, 40 hours per week; hours may vary.
Education – High School diploma or equivalent required.
Work Experience – Understanding of medical software, such as Epic, strongly preferred. Customer service experience required. Prior experience in a healthcare environment preferred. Knowledge of insurance companies and specifics of the different plans is highly desirable.

  • Ensures compliance with private payor, workers compensation and government regulations
  • Ensures compliance of the clinic with State and Federal regulations such as HIPAA, OSHA regulations
  • Ensures that records are stored securely and handled in compliance with HIPAA privacy and security regulations, as applicable

  • Adheres to safety policies and procedures in performing job duties and responsibilities
  • Maintains responsibility for safe work area by reporting to safety officer or designee observed or suspected safety violations, hazards, and policy/procedure noncompliance
  • Responds to emergency situations with competence and composure
  • Reports observed or suspected medical emergencies, notifies appropriate personnel, and responds appropriately
  • Identifies facility emergency situations (e.g., fire, disaster) and notifies appropriate personnel and external agencies
6. Professional Competence
  • Participates in continuing education and other learning experiences
  • Shares knowledge gained in continuing education with staff
  • Maintains membership in relevant professional organizations and/or maintains certification with relevant certifying body
  • Seeks new learning experiences by accepting challenging opportunities and responsibilities
