You never hesitate to roll up your sleeves to get the job doneRESPONSIBILITIESWhat You Can Expect Day-to-DayIn this pivotal role, you'll manage and oversee a range of bookkeeping activities, ensuring the precision and timeliness of our financial records. Core tasks include:• Prepare monthly applications for payment using AIA-approved payment request forms, ensuring accuracy and adherence to timelines• Oversee the comprehensive distribution of payments to subcontractors and major suppliers, ensuring promptness and adherence to terms• Enter and maintain all change order documentation, ensuring its timely updating and reflection in our financials• Reconcile subcontractor and client budgets with executed contracts, ensuring alignment and accuracy• Record and monitor cost transfers within our accounting software, ensuring transparency and justification for every move• Execute all bookkeeping tasks pertinent to construction projects, managing both payments and collections with a meticulous eye• Communicate the cash flow of active projects to senior management, offering insights and updates to ensure a pulse on our financial health• Monitor, manage, and follow up on accounts receivable, ensuring prompt payment and resolution of outstanding amounts• Monitor project revenue and collaborate with project managers to resolve any discrepancies or variances• Actively contribute to accounting team meetings, bringing forward knowledge, insights, and suggestions for continuous process improvement• Review, track, and manage affidavits and collections, ensuring that every detail is accounted for and appropriately managed• Maintain and update bond information request forms as required, ensuring compliance and accuracy• Manage and process employee payroll, ensuring accuracy, timeliness, and adherence to all regulatory requirements• Regularly perform bank reconciliations, ensuring that our financial records align perfectly with our bank statements• Handle the processing of W9 forms, ensuring that every detail is meticulously captured and filed
