Accounts Payable and Payroll Specialist

Job Summary:

As an Accounts Payable and ADP Payroll Specialist, you will be responsible for managing the accounts payable process and ensuring accurate and timely payments to vendors, suppliers, and service providers. Additionally, you will handle payroll processing using the ADP platform, ensuring compliance with relevant regulations and internal policies. This role requires strong attention to detail, organizational skills, and the ability to work effectively in a fast-paced environment.

Responsibilities

Accounts Payable:

  • Receive, review, and process invoices, expense reports, and payment requests.
  • Verify accuracy of invoices, including matching invoices with purchase orders and receipts.
  • Obtain necessary approvals for invoice payments.
  • Process mileage and reimbursements for staff.
  • Prepare and process payments via check, ACH, or wire transfer.
  • Reconcile accounts payable transactions and resolve any discrepancies.
  • Maintain vendor records and respond to vendor inquiries.
  • Prepare and analyze accounts payable aging reports.

ADP Payroll Processing:

  • Manage the end-to-end payroll process using the ADP platform.
  • Enter and maintain employee data, including new hires, terminations, and changes in compensation or deductions.
  • Calculate wages, bonuses, commissions, and other payroll-related payments accurately.
  • Process payroll on a regular schedule, ensuring compliance with federal, state, and local regulations.
  • Review and reconcile payroll reports, including tax filings, deductions, and withholdings.
  • Address payroll-related inquiries from employees and management.
  • Stay updated on changes in payroll laws and regulations.

Compliance and Reporting:

  • Ensure compliance with relevant accounting standards, tax regulations, and company policies.
  • Prepare and file payroll tax returns and reports, including W-2 and 1099 forms.
  • Assist with audits related to accounts payable and payroll processes.
  • Maintain accurate and up-to-date records and documentation.

Process Improvement:

  • Identify opportunities to streamline accounts payable and payroll processes and implement efficiency improvements.
  • Collaborate with cross-functional teams to integrate systems and optimize workflows.
  • Participate in the evaluation and implementation of new accounting and payroll software solutions.

Qualifications:

  • Associate’s or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • 2 years experience in payroll and/or accounting
  • Proven experience in accounts payable processing and payroll administration.
  • Proficiency with accounting software (QuickBooks) and payroll systems (ADP).
  • Strong understanding of payroll laws, regulations, and compliance requirements.
  • Excellent attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Problem-solving and analytical abilities.
