The Talent Acquisition Operations Specialist will support the TA team with recruiting coordination functions and providing support to the TA process and procedures. TA Operations Specialist will act as an ambassador for the TA team in all external interactions including communication with candidates, hiring teams and other internal teams. They will also act as a key partner to the TA team members and other HR stakeholders.
· Responsible for accurately and effectively supporting the recruiting function throughout the candidate lifecycle including but not limited to:
o Entry or upload of candidate records (as required)
o Interview coordination and calendar scheduling as needed.
o TA team event registration and expense reimbursement.
o Management of candidate offer creation.
o Assisting with candidate onboarding of new hires
o Background Investigation Initiation and Review – Escalate as needed.
· Utilize technology including the Applicant Tracking System to keep accurate and compliant records.
· Accurately track and maintain reporting in provided Applicant Tracking System. Disperse reports to appropriate parties on timelines required.
· Demonstrate sense of urgency around driving the recruiting lifecycle forward with both urgent requests as well as strategic planning with the recruiter and/or business group supported.
· Participate and contribute to the overall mission of the business by demonstrating understanding of and support for key business priorities.
· Execute administrative and programmatic support including meeting coordination, collateral preparation, file maintenance, audit support and other ad hoc projects as required.
· Excellent Communications skills, exhibited in timely communication around all supporting functions during the hiring and on-boarding process. Proactively shares information with the intent to keep all affected parties apprised of any developments. Ensure all correspondence, both verbal and written and clear, concise and error free. Provides immediate feedback and concerns to managers, recruiters, hiring managers, and candidates as appropriate.
· Inquisitiveness and eager to learn new skills. Asks intelligent questions and looks for different and better ways to accomplish tasks.
· Problem solver seeking the reasons for problem, not just symptoms. Creates pathways to resolve the problems and communicates those solutions to superiors and team.

· Experience working with Applicant Tracking System ICIMS
· 5 years experience working in a Talent Acquisition Coordination or Operations role.
