Ripple Effect is looking for an Editorial Coordinator with four years of experience coordinating the flow of proposals and proposal publication process. This role, under the leadership of the PMO Director, will work closely with our Capture Managers and Proposal Managers to support the proposal process by setting up document templates, populating stock text, writing sections of proposals, developing compliance matrices, facilitating graphics and editorial activities and supporting desktop publishing.

Responsibilities

  • Develops proposal schedules including milestones, assignments, and proposal budgets following our documented process.
  • Works closely with capture and proposal manager to coordinate critical proposal development meetings (kickoff meetings, colored reviews) including preparing agenda topics, coordinating meeting logistics (video conferencing and room reservation), participant list, pre-meeting materials and capturing post-meeting action items.
  • Maintains the proposal library of stock text, case studies and graphics and continually improves the content by working with subject matter experts across the organization.
  • May be responsible for light editing or writing in support of proposal development.
  • Provides support for the creation, maintenance and archive of shared electronic areas in MS Teams for proposal development teams to collaborate.
  • Oversees the full lifecycle for proposal document management from an outline, writing, editorial, graphics, and electronic publication in PDF format.
  • Provides advanced desktop publishing support in Word to align with RFP requirements and Ripple publication standards.
  • Updates electronic systems that capture the status of our business development pipeline for any active proposals.
  • Develops compliance matrices to ensure that the publication aligns with RFP requirements and addresses all necessary information in the evaluation criteria.
  • Holds cross-divisional team members accountable for meeting timelines and completing action items and escalates risks or issues to the PMO Director or proposal/capture manager.
  • Ensures standards and requirements are met through conducting quality assurance activities including a white glove and gold team review at the end of the process.
  • Contributes to new processes and procedures to enhance the effectiveness and efficiency of the team's operations.
  • Supports the documentation of processes and procedures.
  • Performs other job-related duties as assigned.

Requirements

Minimum Education and Experience

  • Bachelor's degree
  • 4 years relevant work experience

Basic Requirements

  • Ability to learn and navigate web-based systems such as SharePoint, Teams, and other electronic business systems.
  • Advanced skills with Microsoft Word, PowerPoint, Word, and Outlook
  • Excellent organizational skills and time management skills
  • Ability to prioritize among multiple tasks in a fast-paced, deadline-driven environment
  • Excellent verbal and written communication skills for face-to-face interactions with partners, co-workers, senior leaders, and stakeholders.
