We are seeking a highly organized and detail-oriented Office Administrator to join our team and contribute to the smooth operation of our office.

Job Description:

The Office Administrator will be responsible for performing various administrative tasks to support the efficient functioning of our office. The ideal candidate will possess excellent organizational and communication skills, be proficient in multitasking, and demonstrate a high level of attention to detail. They will also have the ability to handle situations with equal amounts of grace and attitude.

Responsibilities:

  • Billing and Invoicing:
  • Generate invoices accurately and in a timely manner
  • Coordinate with customers regarding billing inquiries and payment processing
  • Maintain records of financial transactions and ensure accuracy in billing documentation
  • Payroll Administration:
  • Assist in processing payroll, including calculating hours, deductions, and bonuses
  • Maintain records of time off requests and ensure that Paid Time Off is accurately applied
  • Ensure accurate and timely distribution of paychecks or direct deposits
  • Address payroll-related inquiries from employees and resolve any discrepancies
  • HR Support:
  • Maintain employee records including personal information
  • Assist in the onboarding process for new hires, including paperwork and orientation sessions
  • Coordinate employee benefits administration and assist employees with benefits-related inquiries
  • Assist in the processing and documentation of work related injuries
  • General Office Duties:
  • Answer and direct phone calls in a professional manner
  • Greet visitors and customers, providing assistance as necessary
  • Manage office supplies inventory and place orders when necessary
  • Handle incoming and outgoing mail and packages
  • Assist in organizing and maintaining office filing systems
  • Ensure the office is presentable and clean working environment (ps. If you ask nicely someone will clean the bathrooms for you)
  • Administrative Support:
  • Provide administrative support to various departments as needed
  • Assist in the preparation of reports, presentations, and other documents
  • Collaborate with team members to ensure smooth workflow and effective communication
  • Listen attentively to (sometimes unsolicited) advice and feedback
  • Maintaining records of receipts and reconciliation of accounts
  • Keeping records of assets purchased and sold
  • Set up of new customer and vendor accounts
  • Other Duties and Responsibilities:
  • Play an active role in organizing and planning company events
  • Maintain stock of company uniforms or swag
  • Assist with the design and ordering of promotional products

  • Experience in office administration, HR coordination, or relevant administrative roles
