We are seeking a skilled and organized Office Manager to join the Right at Home team in Miami! As the Office Manager, you will play a pivotal role in ensuring the efficient operation of our administrative tasks and maintaining a seamless flow of communication between various departments and stakeholders. Your attention to detail, strong organizational skills, and dedication to maintaining a supportive office environment will contribute to the overall success of our home care services. Hours are Monday - Friday from 8:30a-5p.
Job Duties of Office Manager:
· Administrative Support - Provide comprehensive administrative support to the management team and various departments within the company. Answering phones, emails, and inquiries, directing them to the appropriate team members.
· Scheduling and Coordination - Maintain and update the schedules for caregivers and clients, ensuring timely assignment of caregivers to clients' needs. Coordinate appointments, meetings, and training sessions as required.
· Client Communication –Handle inquiries from clients, family members, and potential clients with professionalism and empathy. Maintain a compassionate and respectful demeanor while addressing their concerns and providing necessary information.
· Data Management – Maintain accurate and organized records of client information, caregiver assignments, and other relevant data using company databases and software tools. Ensure confidentiality and compliance with privacy regulations.
· Billing and Invoicing – Assist with billing and invoicing processes, ensuring accuracy and proper documentation. Collaborate with the finance department to address any discrepancies and maintain up-to-date financial records. Prepare documents, contracts, and reports as needed by the management team. Ensure documents are well-organized, accurate, and aligned with company standards.
· Maintain a clean and organized office environment including waiting area and employee breakrooms.
· Assist in the recruiting and onboarding of new employees, ensuring they have the necessary tools and information to succeed in their roles.
Requirements of Office Manager:
· High school diploma or equivalent required.
· Proven experience in office administration, preferably in the healthcare or home care industry.
· Office Manager must have proficiency in using office software tools, including Microsoft Office Suite and database management.
· Must be Bilingual Written/Spoken in English and Spanish. Strong communication skills, with a professional and compassionate demeanor.
· Excellent organizational and multitasking abilities, with a keen eye for detail.
· Ability to handle sensitive and confidential information with discretion and integrity.
· Strong problem-solving skills and a proactive attitude towards challenges.
· Experience with scheduling and coordination is highly desirable.
Job Type: Full-time
Pay: $17.00 - $21.00 per hour
