Job Overview

The Contract Operations Specialist supports the National sales team by reviewing client contract packages for accuracy and completeness and entering data into a system for review, processing, and servicing. This individual, as a member of the operations team, is also a resource available to our sales team for a broad range of questions regarding systems, policy and procedure, and contract documentation. The position has significant interaction with the sales team and other areas of the company and therefore requires cross functional collaboration and teamwork. 

What you’ll bring to the table: (Responsibilities) 

Interact with sales to collect missing or incorrect documentation and resolve paperwork problems. 
Create contract documentation to be presented to clients
Perform light Accounts Payable responsibilities – verifying proper approval authority before issuing payments to our clients
Perform account research: review account history, documentation, support sales team with information to service prospects
Interact with other departments in the organization to provide sales team with information necessary to service accounts.
Process contracts, ensure documentation is correct and complete, enter data into system to board clients

Do you have the right mix of ingredients: (Requirements)

  • College education a plus, degree preferred.
    Minimum 4 years customer service experience
    Proficiency with MS Word, Excel, Outlook and other MS Office applications
    Experience in mortgage processing or leasing documentation a plus
    Excellent verbal and written communication skills
    Strong analytical skills
    Self-motivated and ability to proactively solve problems.
    Ability to proactively build and maintain positive working relationships across the company
    Adept at quickly learning new and various software applications
    Extremely well-organized, detailed oriented and solution-driven with excellent follow-up skills
    Ability to handle sensitive documents with extreme care and confidentiality
    Ability to manage work flow and meet deadlines while responding to frequent demands of multiple customers (internal and external)
    Ability to work in a rapidly changing, growth-oriented environment
