General Summary

Provides administrative functions, coordination, and support for the General Manager. The successful candidate will be organized, detail oriented, self-motivated, able to handle confidential information, as well as a demonstrated ability to respond to changing workloads and priorities. Must have the ability to communicate clearly across multiple function and levels of the organization and to manage multiple assignments and people simultaneously.

Job Responsibilities

• Performs general office duties including filing and retrieving documents and records, preparing invoices, reports, memos, and other documents as requested

• Data entry work using; entering, updating, researching, verifying and/or retrieving data into/from various software systems.

• Coordination of a wide range of both one time and ongoing projects and tasks requiring both independent work and working within a team

• Responds to requests for information and/or answers both routine and non-routine questions, conducts research as needed across multiple functional areas and levels of the organization.

• Develops best practices and continuous improvement to gain efficiencies; recommends changes to leadership to maximize resources.

• Monitors and processes check requests for the Reser’s Cares Initiative, completing due diligence on non-profit organizations recommended for funding and support.

• Plans, organizes, and executes small- and large-scale events maintaining high standards and ensuring timelines and budgets are met.

• Performs additional duties specific to supporting the General Manager and plant team as assigned.

Qualifications

• 5 years of similar office/administrative experience 

• Proficient in MS Office products, especially Excel, PowerPoint, Outlook and Word.

• Demonstrated ability to manage and prioritize multiple, concurrent projects against varying and competing timelines without compromising accuracy and quality.

• Ability to anticipate and recognize situations that warrant initiative resolves issues, problems or situations in a timely manner.

• Excellent communication and interpersonal skills.

• Organized, detail oriented and accurate.

• Demonstrated ability to effectively multi-task and problem solve and keep projects on track.

• Time management and ability to prioritize

• Adapts to working with a variety of situations, individuals, and groups. 

• Ability to perform under pressure in a very fast paced, complex and dynamic environment.

• Regular attendance and punctuality required.

• Prior experience managing projects and/or events preferred

Working Conditions

• Office Setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

• Travel up to 10% of the time.

• Repetitive hand, wrist, and finger activities.

• Occasional lifting of packages in excess of 45 pounds is required.

• Position may require overtime and/or evening or weekend scheduling.
