Renée White Team is Hiring an Administrative Transaction Coordinator - Real Estate Near Walnut Creek, CA

The Renée White Team, the #1 real estate team in Contra Costa County, is looking for an Administrative Coordinator to provide crucial support to our listing team. As an Administrative Coordinator with us, you'll play a key role in maintaining order and structure within established systems—a fundamental aspect of our operations.

This is not a remote position. The Administrative Coordinator will work from our office located at Walnut Creek.

Compensation:

$25 - $30 hourly

Responsibilities:

Document Coordination Support

  • Coordinate all transactional documents from Listing to Close
  • Maintain a well-organized electronic filing system using Google Drive/KW Command
  • Process documents daily (receipt, segmentation, naming, and saving)
  • Prepare and distribute document packages
  • Review document packages for accuracy and completeness, obtaining any missing items or signatures
  • Track all contractual timelines and deliverables

Listing Preparation Support

  • Collaborate with the Listing Manager to streamline property listing preparations
  • Schedule property-related tasks such as inspections, cleanings, staging, photography, and sign installations
  • Create MLS listings and design property flyers
Qualifications:
  • Previous experience as a Transaction Coordinator or in a similar role in the real estate industry
  • Strong knowledge of real estate transactions and contracts
  • Excellent organizational and multitasking skills with a keen eye for detail
  • Exceptional communication and interpersonal abilities
  • Proficient in Google products: sheets, calendar, drive, Gmail
  • Experience with Follow-up Boss or KW Command is a plus
  • Ability to work effectively in a team-oriented environment
