Region 4 Education Service Center is Hiring a Technical Specialist II, Event Planner Near Houston, TX

Job Goal:

As a member of the Communications team, the Event Coordinator plays a pivotal role in orchestrating events that celebrate and highlight the exceptional achievements of educators within our region. Additionally, this role is integral in supporting the facilitation of meetings and activities designed to motivate and engage employees of Region 4. The Coordinator will support a variety of internal gatherings and activities, while managing the organization and execution of several external events dedicated to recognizing excellence in education. These events include the annual Teachers of the Year Celebration, Principal Recognition Ceremony, and the Superintendent Recognition and Awards Ceremony, among others.

Qualifications:

Education:

Bachelor’s degree in event management, hospitality, marketing, or a related field, preferred. Five years of equivalent work experience may be substituted in lieu of a degree.

Experience:

Three years of related work experience in event planning and management, preferably in an educational or non-profit setting

Special Knowledge and Skills:

  • Excellent communication and interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders
  • Creative problem-solving skills, attention to detail, and the ability to work well under pressure and with last-minute program changes
  • Proficiency in Microsoft Office and project management software
  • Proven ability to manage multiple event-planning projects simultaneously under tight deadlines

Major Responsibilities:

Planning Services

  • Lead the planning and coordination of multiple events, ranging from large-scale ceremonies to internal meetings. This includes venue selection, catering, AV support, program scheduling, and on-site coordination.
  • Manage event budgets, ensuring cost-effectiveness while maintaining high-quality standards. Negotiate with vendors and suppliers to achieve the best possible pricing on décor, awards, and other event supplies.
  • Coordinate receipt and storage of materials and schedule shipping of supplies to and from the venue.
  • Collaborate with communication specialists to promote events through various channels, including social media, email, and our website, to maximize attendance and engagement.
  • Secure event sponsors and ensure receipt of sponsorship by the payment due date.
  • Send event invitations and maintain guest lists for event registration.
  • Select and order food and beverages in proportion with actual registration.
  • Ensure print collateral is ordered from the Region 4 print center in time to take delivery before the supply shipping date.
  • Provide support for internal meetings and activities as directed.

Contract Management

  • Prepare vendor contracts for signature, ensuring the inclusion of all negotiated items.
  • Receive the contract from the selected venue and obtain approval and signature from the Chief of Strategic Communications and Engagement.

Onsite Management

  • Serve as onsite project coordinator for external events by arriving early for event set-up and staying to close out the event.
  • Assign and direct onsite Region 4 support staff.

Reconciliation—Reports

  • Conduct post-event evaluations to gather feedback and assess event success.
  • Prepare post-event reports for senior management and stakeholders.
  • Identify opportunities for improvement and innovation in event planning and execution processes.
  • Send appreciation to event sponsors.

Frequent use of standard office equipment; prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting; repetitive hand motions (keyboarding and use of mouse); occasional light lifting and carrying (less than 15 pounds); may work prolonged and irregular hours; work with frequent interruptions; maintain emotional control under pressure.
