Referentia Systems is Hiring an Office Manager/Contracts Specialist Near Honolulu, HI

The Office Manager/Contracts Specialist will perform a variety of job responsibilities encompassing both coordination of the office activities and operations and analyzing contract provisions and make appropriate recommendations, where necessary. The ideal candidate will perform a broad range of business support for various systems utilized by the company, administrative and clerical support for internal and external customer needs, including direct and support services to assure a safe and secure working environment and high level of customer service to our visitors. Document procedures in all areas, to assure understanding, replication and future smooth transition of duties.
Duties
Manages assigned projects, maintaining confidentiality of all corporate, personnel, business opportunities, and research matters.
  • Manages multiple simultaneous initiatives through proactive tracking of deliverables, issues management, prioritization, and understanding corporate, military, and government environments.
  • Manages schedules, organizes meetings, prepares for events, travel, and other administrative duties as assigned. Handles incoming calls, email correspondence, and mail distribution. Will distribute and forward applicable calls and mail, as appropriate.

Efficient and effective use of software with detail and accuracy. This may include support of HR, marketing, etc. as assigned

Coordinates and supports vendor and facility management.
  • Supports facility management; coordinates work with vendors. Manages supplies and equipment, conference room set up, intake and greet visitors, incoming and outgoing telephone and postal mail, etc.
  • Processes purchasing requests following standard procedures; research pricing; obtain quotes, work with requestor, order, receive, inventory, and store equipment, supplies, etc.
  • Maintains preferred vendor list.
  • Manages and maintains inventory of supplies, services, license agreements, extended warranties for hardware, software, domain names, communication services, copier, etc. and initiate renewals in a timely manner.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • May be required to manage future part time or full time staff to support office administration.
Collaborate and work closely with the Contracts Manager to review contract terms and conditions ensuring compliance with company policies and applicable Federal and State regulations.
  • Proofread, edit, fact-check legal documents for accuracy and consistency.
  • Manage and maintain a tracking system for all legal document version control.
  • Provide support for all contractual activities.
Performs all other duties as assigned.

Requirements

  • Associate’s degree in business administration or related field required. Bachelor’s degree preferred.
  • At least 3-5 years of administrative experience required
  • Excellent communication (verbal and written) skills and the ability to communicate effectively with employees, customers, and vendors
  • Excellent interpersonal and customer service skills
  • Ability to document and modify procedures
  • Must have strong organizational skills while at the same time multi-tasking several projects
  • Must have exceptional attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficiency using Microsoft Office Suite and Google Drive; and the ability to quickly learn and use other software packages
  • Must be adaptable and flexible
  • Willing to work extended hours during critical times/special projects
  • Ability to prioritize tasks and to delegate them when appropriate
  • Must be able to lift at least 15 lbs.
  • Prolonged periods sitting at a desk and working on a computer
  • May be required to obtain security clearance
