Program Manager - Board Certified Behavior Analyst (BCBA)
Reports To: Clinical Director

Job Classification: Salary Non-Exempt

Reach High is looking for a BCBA to serve our patients in Bloomington, IN. We are offering a flexible salary based on billable-hour preferences and experience as a BCBA.

Program Manager I: minimum of 20 billable hours/week
Program Manager II: minimum of 22 billable hours/week
Program Manager III: minimum of 25 billable hours/week with bonus eligibility

Main Role Directive
The primary directive of the Program Manager is to provide support to individuals and their families by evaluating, creating, implementing, and monitoring sustainable plans of care as authorized by insurance. The Program Manager is responsible for providing ongoing professional supervision which includes modeling and other direct instructional support for Registered Behavior Technicians (RBTs).

Essential Duties

The Program Manager must be able to perform the essential duties of the position either with or without reasonable accommodations:

  • Timely arrival and completion of scheduled therapy sessions. Prompt and dependable in-clinic attendance is essential to ensure quality care and consistency of therapy for our unique patients.
  • The ability to speak fluent English is essential to communicate with our patients.
  • The ability to assume and maintain a variety of postures and motions (kneeling, squatting, crawling, sitting, standing, running) for extended periods of time, and to pick up to 50 lbs without additional support, are essential to engage with our patients as well as to ensure patient safety.

Clinical Duties

Patient Assessments:

  • Initial, semi-annual, and annual completion of a variety of assessments such as the SRS-2, PSI-4, Vineland, PDDBI to assess intended outcomes of treatment.

Plan of Care Development

  • Revise each patient’s treatment plan in 6-month intervals based on assessment results, meeting Reach High's format.
  • Create a behavior intervention plan that is derived from completing a Functional Behavior Assessment with antecedent, reactive, and replacement strategies.
  • Coordinate with the Clinical Director for the completion of peer reviews for assigned patients.

Data Sheet and Protocol Management

  • Responsible for maintaining up to date protocols and data sheets in the practice management platform (Central Reach).
  • Must conduct data collection and protocol writing in adherence to company policies and procedures regarding formatting and system usage, deviation must be approved by the Clinical Director prior to implementation.
  • Must design protocols, datasheets, and learning trees, utilizing best practices pertaining to the implemented platform outlined in company policies and procedures.

Supervision of Treatment Implementation

  • Supervise treatment implementation for assigned patients to include authorization utilization across all ABA service types to promote a well-balanced approach to care.
  • Complete supervision for all RBTs to meet the required monthly minimum of 10% set by RHC.
  • Complete all necessary documentation surrounding RBT supervision including but not limited to, data collection within the RBT's performance review in the practice management system and supervision notes.
  • Regularly review data analysis of RBT sessions by running reports of session data to include trial count and patient goal completion.

Parent Interactions and Family Management

  • Conduct and coordinate parent coaching utilizing an evidence-based curriculum at a minimum of once a month with each of your patients in adherence to billable requirements set forth by the insurance payor and company policies and procedures.
  • Responsible for developing and maintaining parent engagement and coordination regarding patient POC, protocol changes, and POC outcomes.

Clinical Documentation Expectations

  • Supervise and manage a caseload.
  • Create and maintain proper communication and activity logs of all material patient interactions within the practice management platform.
  • Schedule and render all billable service notes within 24 hours of session completion.

Clinical Collaboration and Staff Training

  • Engage and collaborate with the program management team to complete quarterly clinic-wide training presentations that introduce new research and evidence-based practices for patients and staff.
  • Engage and contribute to resolving program/caseload challenges brought up to the program management team.
  • Provide candidate/student supervision if assigned following the prescribed curriculum and/or plan agreed upon by the organization and in compliance with BACB supervision guidelines.
  • Conduct and contribute to Reach High’s 40-hour RBT Training curriculum as needed.
  • Provide mentorship to Reach High Program Managers within their first year of BCBA certification.

Administrative Duties

Administrative Documentation and Reporting

  • Must maintain accurate documentation for all staff related complaints, issues, or clinical performance corrections within 24 hours of the incident or reportable offense.

  • Ensure personal schedule updates are maintained in your Google Calendar.

Learning and Development

  • Complete the required number and documentation of CEUs per BACB guidelines.
  • Complete all practice management training assigned.
  • Responsible for acquiring additional knowledge within the ABA practice field to expand scope of practice.

BACB Ethical Code of Conduct

  • Responsible for adhering to all requirements and expectations of the Professional and Ethical Compliance Code for Behavior Analysts.
  • Responsible for documenting and notifying the company of any alleged violations or situations that are not aligned with the intended purpose and meaning of the Professional and Ethical Compliance Code for Behavior Analysts.

BCBA Eligibility

Ability to successfully complete individual credentialing process

  • Master’s Degree in Applied Behavior Analysis, Special Education, Psychology, or closely related field with a minimum of 1 year certified as a BCBA in good standing with the Behavior Analyst Certification Board (BACB)
  • Must meet requirements to supervise BCBA candidates/students as specified by the BACB
  • Current CPR certification
  • Completed 8-hour Supervision Course submitted to BACB account
  • NPI Enrollment (Up-to-Date)
  • Liability Certificate of Insurance (COI)
  • CAQH Enrollment (Up-to-Date)
  • Current Background Check (within 180 days)
  • Medicaid Attestation and Enrollment
  • Fully credentialed with patient payors
