Rathje Woodward LLC is seeking a professional and organized individual to join our team as a Receptionist / Administrative Assistant for our Wheaton office.
As the first point of contact for our guests, you will play a crucial role in providing exceptional customer service and administrative support to our team.
Responsibilities :
Greet visitors and guests warmly and direct them to the appropriate conference room.
Manage scheduling tasks such as A / V setup, conference room reservations, and tele-conference services.
Respond promptly and professionally to telephone and electronic communications.
Perform various administrative tasks including opening and scanning mail, opening new matters, conflict checks, processing outgoing mail, reconciling vendor bills, word processing, photocopying, faxing, and data entry.
Ensure conference rooms are set up as requested, including audio / visual equipment, food, beverages, and utensils.
Assist with the cleanup and reset of conference rooms after use.
Perform light housekeeping duties to maintain cleanliness in common areas.
Ensure conference rooms are well-maintained and ready for upcoming reservations.
Requirements :
Minimum of two years of experience working as an administrative assistant.
Proficient in Microsoft Office programs (Outlook, Excel, and Word).
Excellent organizational skills with the ability to prioritize tasks effectively.
Strong written and verbal communication skills with professional phone etiquette.
Exceptional interpersonal skills and the ability to interact effectively with attorneys and staff.
Capable of managing multiple projects with minimal supervision.
Demonstrates sound judgment and problem-solving skills, particularly in the absence of direct supervision.
