Randall Electrical Contractors, Inc. is looking for an Office Administrator / Receptionist to work in our Titusville, FL office. You will manage our frontdesk daily and perform a variety of administrative and clerical tasks.

Responsibilities:

As our Office Administrator / Receptionist,you will be the first point of contact for our company. Your duties include offering administrative support across the organization. You will coordinate all front-desk activities.

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls to the appropriate person
  • Assist job-seeking visitors with the application process & schedule interviews for potential new hires.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries and log correctly.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep an inventory of stock.
  • Update calendars and schedule meetings
  • Perform other clerical receptionist duties such as filing and photocopying.
  • Submit for employee badging for job site access.
  • Regularly maintain and update employee safety training log
  • Send out company emails as needed.
  • Assist VP with tasks as assigned.
  • Assist Project Managers with tasks as assigned
  • Make arrangements for tech support.
  • Assist in signing out tools from the cage.
  • Send materials out to bid to vendors.
  • Enter purchase orders up and send them to the vendors.
  • Adjust purchase orders as needed.
  • Apply for credit applications for new vendors.
  • Maintain employee files and ensure there are updated forms of identification and badging.
  • Process new hires.
  • Coordinates orientation and administers drug tests upon new hire.
  • Review resumes and schedule interviews.
  • Cross training one full day weekly with Accounts Payable.
  • Cross training one full day weekly with Project Coordinator.

To be successful as an Office Administrator / Receptionist,you should have a pleasant personality, as this is also a customer servicerole. You should also be able to deal with emergencies in a timely andeffective manner while streamlining office operations. Multitasking and stress management skills are essential for this position. Flexibility towork occasional, light overtime is a plus.

Ultimately, the Office Administrator / Receptionist's duties and responsibilities are to ensure the front desk welcomes guestspositively and executes all administrative tasks to the highest qualitystandards.

Requirements

  • Solid written and verbal communication skills
  • Work experience as an Office Administrator, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. computers, printers)
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude
  • High school diploma: additional certification in Office Management is a plus.
