JOB SUMMARY Reporting to the Sr. Event Manager, the Events Assistant will provide support to the Rakuten Events Team. Rakuten group plans 40 events a year, both virtual and in-person, and the assistant will have a hand in each of these events dealing with registration systems, reporting, pre-event preparation and overall support of the event team as needed. The assistant will be involved in all meetings to obtain a good grasp on the industry and understanding of what event planning can look like as a career. There could be an opportunity to travel to at least one event in North America to help execute on site. This is great role for anyone interested in event planning, specifically corporate events and conferences. KEY RESPONSIBILITIES Support the Events Team in ensuring a proper event planning timeline is being followed by each Rakuten Business Unit for events including DealMakers, Industry events and any other events internationally. Assist in planning and management of Rakuten participation in other industry events such as trade shows, conferences, etc. Includes researching potential events, determining prospect attendance, costs associated. Seeking out speaking opportunities at events. Lead administrative tasks such as name badge printing for every event and shipping of event materials. Lead the management of the online registration system and running reports. Provide research for keynote and panel speakers for events. Assist in development of program agendas. Assist in content development for internal/external event communications, including invitations, newsletters, and website. Manage event team public inbox and respond/forward inquiries as needed. Make updates to front and back ends of event websites as needed. Slack & Monday.com - Lead operational activities in day-to-day work necessary for supporting our Slack and Monday.com workspaces as well as automation and integrations to support the platforms and end-users. Also, provide governance over the Slack and Monday.com environment (integrations, security policies, and records retention) and ensure service is meeting the expectations of our businesses. R Space & Confluence - Lead Confluence and R Space administration of event pages, including the creation of spaces, pages, and page templates. Keep inventory of event supply closet and place new orders as needed QUALIFICATIONS Candidate will be a current student enrolled in intern program. Although not required, the ideal candidate will have intent to study and pursue a career related to events and/or marketing/advertising. Candidate must: Have excellent organizational skills Be an enthusiastic, driven, and hardworking professional with a positive attitude who is willing to rise to the occasion in high pressure situations. Be happy to roll up their sleeves to take care of administrative tasks, such as printing and shipping. These tasks are very important in ensuring the success of the event. Demonstrate strong written and oral communication skills. Have the ability to work well under time constraints while maintaining a can-do attitude Must have the ability to organize and schedule work effectively in order to meet critical deadlines. Have excellent PC/Mac skills, MS-Excel, MS-Word, MS-PowerPoint. Have excellent verbal and written communication skills and high attention to detail. Demonstrate follow-through with a sense of accountability and ownership. At the time of posting, Rakuten expects the hourly rate for this role will be between $20-30/hr. Individual compensation will vary based on job-related factors, including the skills, qualifications, and experience of the successful candidate as well as business need and geographic location.
