Reporting To: People Operations Director

Salary: $57,000k-65,000k

Organizational Summary:

RAINN (Rape, Abuse & Incest National Network) is the nation's largest anti-sexual violence organization. RAINN created and operates the National Sexual Assault Hotline in partnership with more than 1,000 local sexual assault service providers across the county and operates the DoD Safe Helpline for the Department of Defense. In addition, RAINN carries out programs to prevent sexual violence, help survivors, and ensure that perpetrators are brought to justice.

The People Team Office Coordinator is an integral part of the People Team at RAINN, managing many logistics and projects our team works on. They will be the first point of contact in many scenarios related to facilities, office management, employee inquiries, and support needed for our rapidly growing organization. This role will require working onsite in our DC offices and attending meetings as required. The ideal candidate is highly creative and flexible and can pivot easily to changing needs and priorities.

They will be responsible for administrative functions, managing office operations, and routing the needed actions and/or communication with employees. Additionally, the People Team Office Coordinator will enhance operational effectiveness and foster an inclusive workplace culture in the various programs we bring to life for our teams.
Essential Duties and Responsibilities:

  • Providing centralized support to the People Team, including project management tracking, report preparation, scheduling, and administrative support as needed.
  • Assist with the onboarding/offboarding experience and task lists.
  • Monitor and triage People Team inbox and in-office inquiries/requests regarding employee policies, procedures, and benefits.
  • Efficiently manages complaints with a human-centric/people-experience approach.
  • Assist with the opening, scanning, and distribution of mail.
  • Oversee office management tasks such as inventory management, office supplies procurement, and facility maintenance coordination.
  • Assist employees with coordinating office logistics for meetings, events, and training, including room reservations, catering, and audiovisual setup.
  • Assist in creating and maintaining a welcoming and organized office environment.
  • Assist in maintaining confidential personnel files, records, and other employee documentation.
  • Create and manage employee surveys/polls.
  • Set up employee events and social forums.
  • Demonstrated ability to perform consistently within a fast-paced environment, driving multiple and competing priorities with a proactive, solutions-oriented approach.

Position Specifications and Requirements:

To perform this job successfully, an individual must be able to perform the essential functions satisfactorily at a minimum. The requirements listed below are representative of the knowledge, skill, and/or ability required

Required Qualifications:

  • A bachelor's degree in business or another related field is preferred.
  • 1-2 years experience with HR operations.
  • Ability to work onsite at RAINN headquarters in Washington, DC, for a minimum of three days per week (variable), M-F.
  • Proficient in G-Suite Products, Spreadsheets, Surveys, and Google Docs.
  • High level of motivation and assertiveness; self-starter.
  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks.
  • Strong interpersonal skills to interact positively with all employees.
  • Leadership ability to manage challenges. 
  • Attention to detail to ensure tasks are completed thoroughly and correctly.

Preferred Skills:

  • UKG Pro/Dimensions experience.
  • Monday.com experience.
  • Demonstrated discretion in handling sensitive information and discussing topics related to sexual violence with empathy and professionalism, a plus.
  • An aPHR, PHR, or SHRM-CP is preferred.

Environmental Conditions:

  • There are no known harmful environmental conditions present for this position. The noise level in the work environment is usually moderate.
  • Must be able to lift between 10-20 lbs.

RAINN Office Status:

While our staff is currently working remotely, our office in Washington, DC is open and available for employees to conduct meetings, team retreats, and work on-site. We are considering a hybrid work model in the future, which may involve a combination of in-office and remote work to enhance collaboration efforts.
