Key Responsibilities:

  • Manage executive calendars, scheduling meetings, and coordinating appointments with homeowners and title companies.
  • Prepare and edit correspondence, reports, and presentations crucial to real estate transactions, ensuring clarity and accuracy.
  • Assist in coordinating property closings and prepare necessary documentation, liaising effectively with title companies throughout the process.
  • Conduct research and compile data relevant to real estate markets and properties, supporting decision-making processes.
  • Handle sensitive and confidential information with discretion, particularly in interactions with homeowners and title companies.
  • Perform general office management duties, including file organization and maintaining supplies, to ensure smooth operations.
  • Efficiently handle incoming calls, taking messages, and directing inquiries appropriately, maintaining professionalism at all times.

Qualifications:

  • Proven experience as an Executive Assistant, Transaction Coordinator, or similar role within the real estate industry.
  • Proficiency in DocuSign, CRMs, Excel, and Google Suite, with an understanding of real estate-specific software preferred.
  • Strong organizational skills and the ability to prioritize tasks effectively within fast-paced environments.
  • Excellent written and verbal communication skills tailored for real estate transactions, with an emphasis on professionalism and clarity.
  • Meticulous attention to detail and accuracy in all aspects of work, crucial in dealings with homeowners and title companies.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information, respecting the privacy of all parties involved.
  • Familiarity with calendar management, data entry, and general administrative tasks in a real estate context.
  • Experience with phone systems and handling incoming calls, particularly in a real estate setting, with a focus on customer service excellence.
