A client-focused team seeks a results-oriented Assistant Project Manager in support of the Program. This person will facilitate effective communication, drive successful coordination, and operate within a procedurally complex environment.
Position Overview: The Assistant Project Manager is responsible for directly supporting the Program Manager, completing assigned project functions and supplementary administrative tasks. Primary responsibilities will include assisting the Program Manager on Capital Improvement initiatives, relaying information, tracking documentation, and facilitating coordination efforts surrounding highly impactful and communication-heavy project activities. An individual interested in filling this position will work closely with contractor personnel and Aviation Department staff, operating under tight deadlines and prioritizing tasks. The Assistant Project Manager will bolster internal and external organization, file project documentation, and enter necessary data while remaining flexible given shifting priorities and responsibilities.
Duties and Responsibilities:
· Support the Program Manager, ensuring continued program functionality and readiness.
· Organize information and monitor schedules ensuring deadlines are met.
· Attend multiple meetings and maintain awareness of ongoing construction activities.
· Track project schedules and facilitate consistent stakeholder communications.
· Coordinate construction activity and track approvals from necessary parties.
· Provide reports to the Program Manager through collaboration with the project team.
· Create and distribute informational pieces to notify affected parties of potential impacts.
· Answer a 24/7 Construction Hotline on a rotating on-call basis.
· Assist with internal initiatives and any other special projects or tasks as assigned.
· Facilitate seamless workflow, develop assigned resources, and provide general support.
· Data entry and information tracking via multiple information databases.
· Read and interpret project plans, schedules and impacts.
· Communicate complex information to general audiences.
· Ensure high-level consistency among all communication material.
· Communicate with outside agencies, clients, vendors, contractors, and the public.

· Diligent coordinator with excellent written, verbal, and visual communication skills.
· Problem solver with a strong ability to prioritize and re-direct in a fast-paced environment.
· Ability to manage tasks simultaneously, follow-up, and meet deadlines given new priorities.
· Proficient in managing multiple collaborative projects with staff from a variety of disciplines with various levels of technical and non-technical backgrounds.
· Ability to read design plans, maps and interpret construction language.
· Good presentation and public speaking capabilities.
· Outstanding attention to detail while sorting through high volumes of information.
· Proficient at data entry and project information tracking.
Minimum Qualifications:
· Bachelor's degree or 2 years equivalent professional experience
· Proficiency in Microsoft Office including Outlook, SharePoint, Excel and Word
· Experience with Office 365 including OneNote, OneDrive & Microsoft Teams
· Access to reliable transportation for multiple daily site visits
· Knowledge of construction communication and aviation industry is preferred
· Knowledge of Adobe Illustrator and/or InDesign is a plus
