Job Description:
As a Purchasing Assistant at ProFillment, you will play a crucial role in supporting the procurement team in acquiring FF&E products for our clients in the hotel industry. You will assist in various aspects of the procurement process, from researching suppliers to tracking orders and ensuring timely delivery. This role requires strong organizational skills, attention to detail, and a willingness to learn and grow within the company.
Key Responsibilities:
- Assist in sourcing and identifying potential suppliers for FF&E products.
- Conduct research to gather information on product specifications, pricing, and availability.
- Prepare purchase orders and contracts in accordance with company policies and procedures.
- Coordinate with suppliers to obtain quotes, negotiate pricing, and finalize terms of purchase.
- Maintain accurate records of procurement transactions, including purchase orders, invoices, and delivery receipts.
- Track the status of orders and shipments to ensure timely delivery to clients.
- Communicate effectively with internal teams, suppliers, and clients regarding order updates and any issues that may arise.
- Assist in resolving discrepancies or quality issues with purchased products.
- Support the procurement team in analyzing procurement data, identifying cost-saving opportunities, and improving procurement processes.
- Perform other administrative tasks and duties as assigned by the procurement manager.
Qualifications:
- High school diploma or equivalent; Bachelor's degree in a related field is a plus.
- No prior experience required; entry-level candidates are welcome to apply.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy in data entry.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
