PrimeMSOSurgicalCenters is Hiring a Front Office Scheduler Near Newport, CA

Job Description

The Front Office Scheduler contributes to an efficient operational flow within our surgical facility and is the first face of the center when visitors/patients arrive onsite. They are responsible for sorting filing and maintaining medical and demographics records. The Front Officer Scheduler schedules all surgical procedures and assures that all the appropriate clinical and insurance coding information is collected for the surgery schedule. Additionally, they will conduct administrative duties, which includes greeting guests, answering/directing phone calls, handling company inquiries, and sort/distributing mail.

Job Responsibilities:

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately.
  • Answers multi-line telephones, routes calls, takes messages, and responds to, or refers, inquiries courteously and promptly; greets and checks-in visitors/patients.
  • Coordinates patient surgery scheduling in accordance with Prime MSO Policy & Procedures; ensures current and accurate scheduling calendar.
  • Works to understand, educates patient, and collect patient responsibility amounts; emails applicable staff with payment updates.
  • Helps to organizes and maintains confidential medical files and records.
  • Transmits documentation to necessary parties via email, facsimile, or mail[CS1] [JC2] , in accordance with company policies and all medical practice regulations, such as, but not limited to HIPAA/HITECH.
  • Visits assigned accounts monthly, and updates notes in applicable Salesforce software.
  • Communicates with applicable staff regarding scheduling matters.
  • Reviews and completes daily schedule log; sends to all applicable staff and LIPs.
  • Maintain and update physician roster with schedulers and office management contact information.
  • Accurately scans and names documentation in accordance to Prime MSO policies and procedures.
  • Follows up on pathology/lab reports, incomplete or missing medical records, and dictated reports.
  • Schedules FedEx/UPS packing slips.
  • Process/distribute incoming and outgoing mail and faxes.
  • Assists nursing staff with pre-operative phone calls to patients to review health history and specific instructions for what patients need to do prior to surgery.
  • Enters case data into Vision Scheduling Program.
  • Monitors OOP monthly and follow up with doctor’s office if any changes occur.
  • Participate in “in-services” to maintain professional competency.
  • Build patient charts prior to procedure; file and scan patient charts; maintain organization of patient charts.
  • Scan all packing slips provided by Materials team to appropriate drives.
  • Coordinates testing schedule for pre-procedure COVID testing.
  • Participate in Quality Assurance Performance Improvement Committee (QAPI).
  • Follow up on authorizations and re-verifications in accordance to the Prime App
  • Accurately handle and process needed patient information/data.
  • Perform duties assigned by management.

Skills and Qualifications:

  • Maintains HIPAA confidentiality standards at all times
  • Accomplishes assigned projects on time
  • Keeps work area organized to improve efficiency
  • Knowledge of medical terminology
  • Minimum of 1-year medical assistant/front office experience
  • Knowledge of word processing software
  • Travels to alternative facilities on an as needed basis


Preferred Qualifications:

  • 1-3 Years of ASC procedure scheduling experience
