POSITION: Patient Care Coordinator
RESPONSIBLE TO: Medical Provider or Manager

POSITION SUMMARY: We are seeking a highly motivated and organized individual to join our team as a Patient Care Coordinator join our team. This position will involve a combination of receptionist duties and supporting our providers with patient care, ensuring that our patients receive the highest level of service and attention.
Job responsibilities include, but are not limited to:
Front Desk Operations:
● Warmly greet patients upon arrival, creating a friendly and welcoming atmosphere.
● Efficiently check patients in and out, ensuring accurate documentation of their appointments.
● Answer telephone calls, emails, and texts promptly and provide accurate information regarding appointments and general inquiries.
● Schedule patient appointments, coordinating with providers' schedules and optimizing appointment availability.
● File documents and charts accurately, ensuring proper organization and confidentiality.
● Assist with administrative tasks to support the smooth operation of the practice.
● Maintain a clean and organized reception area.
Patient Care Coordination:
● Act as a liason between patients and providers to facilitate smooth communication and care.
● Secure appropriate patient forms and consents, ensuring compliance with legal and regulatory requirements.
● Coordinate patient appointments, consultations, and follow-up visits.
● Prepare and sanitize exam rooms for office visits and in-office procedures, ensuring cleanliness and organization.
● Promptly room patients and support providers as needed.
Capture before and after pictures of patients, maintaining their privacy and confidentiality.
● Provide pre and post care instructions to patients as directed by the providers, ensuring they are well-informed and prepared for treatments.
● Address patient concerns or questions promptly and professionally.
● Strictly follow HIPAA guidelines to ensure patient confidentiality and privacy.
Administrative Support:
● Establish protocols, systems and guidelines for the practice management and growth.
● Assist with administrative tasks such as data entry, filing, and inventory management.
● Collaborate with other team members to ensure operational efficiency and excellent patient care.
● Contribute to ongoing improvement initiatives to enhance the patient experience.
● Performs all other tasks as requested by the medical provider or manager.
Key Traits, Skills, and Qualifications
● 2 years of experience in a medical spa setting is highly desirable.
● Knowledge of cosmetic procedures and sales is a plus.
● A strong drive and enthusiasm for their work, demonstrating a proactive attitude in assisting patients and supporting the providers.
● Excellent interpersonal skills and the ability to provide exceptional customer service.
● Show a genuine desire to be involved in client care and contribute to their positive experience at the medical spa.
● Willingness to learning new responsibilities and flexibility to adapt to changes within the organization as it continues to grow.
● Exhibit a professional demeanor, maintain a high level of reliability, and prioritize punctuality.
● Ability to work independently and collaborate effectively as part of a team.
● Strong organizational, problem solving, and multitasking skills.
● Proficiency in using electronic medical record systems and basic computer applications.
● Understanding of HIPPA regulations and commitment to maintain confidentiality.
● Motived and invested in the growth and success of the practice.
Work Conditions:
● This job operates in a professional medical environment
● Hours: Part-time, day, evenings. Occasional weekends.
Educational Requirements:
● High school diploma required
● Associates or bachelor’s degree preferred
