Population Reference Bureau is Hiring a Program Associate/Program Coordinator Near Washington, DC

PRB is at the cutting edge of synthesizing complex information for non-technical audiences; making quality information available in accessible formats; strengthening the capacity of researchers, practitioners, and journalists; and creating spaces for these communities to exchange knowledge. PRB staff are experts in family planning (FP), reproductive health (RH), and population, including gender and youth, and in knowledge management, advocacy, communications, journalism, digital/multimedia, and research.

PRB is recruiting a Program Associate/Program Coordinator/ to support knowledge management and project administration on the USAID-funded MOMENTUM Knowledge Accelerator (MKA) project. MKA synthesizes and packages data, information, and learning for improved maternal, newborn, child health (MNCH), FP, and RH programming around the worldThe PRB-led consortium synthesizes and packages key program data, information, and learning from across the suite of awards; shares game changing practices with key regional and global stakeholders through various live and digital platforms; promotes and tracks the use of data and learning for improving MNCH/FP/RH programming; and raises broad awareness about the project’s impact.

The Program Associate/Program Coordinator will serve as a member of the International Programs department, providing technical and logistic support to programs and activities. This support may include leading and/or contributing to the development of technical communications products and advocacy tools; liaising with partners and stakeholders in support of project activities; leading and/or supporting the coordination and organization of external meetings, conferences and workshops/trainings­­; and supporting activity management processes.

Primary Responsibilities 

This position will primarily support the MKA team to implement knowledge management activities, document and disseminate key information, and prepare project deliverables. The successful candidate will work as part of a team of program assistants, associates, and coordinators and will be supervised by Program Director. Responsibilities include:

Meetings and Events

  • Leads and/or supports the coordination and planning for small-to-large scale stakeholder events, convenings, trainings, webinars, virtual knowledge exchanges, and conferences. Responsibilities may include event conceptualization, planning, logistics, promotion, and communications; drafting and preparing event materials; and coordinating and partnering with in-country partners to execute events. 
  • Coordinates and supports logistics and documentation for technical working group meetings and other events tied to the MOMENTUM suite of awards.

Knowledge Translation and Sharing

  • Leads and/or contributes to synthesizing project findings and insights; packaging them in compelling formats; and liaising with technical contributors and reviewers (external and internal), as well as communications staff, to create and develop final products. 
  • Drafts outlines and content for communication products such as fact sheets and blogs. 
  • Leads initiatives to share project resources with a wide range of external stakeholders via listservs, communities of practice, and other appropriate channels. 
  • Develops creative ideas and products such as short teaser videos to draw attention to technical project resources, encourage their use among target audiences, and track and document outcomes.
  • Manages the weekly curation, production, and dissemination of newsletters for projects as assigned and prepares analytical reports on newsletter engagement.

Management and Coordination 

  • Maintains and updates project databases and platforms (e.g., platform users, training participants, outreach/dissemination, etc.).
  • Maintains editorial and event trackers and other coordination tools, as well as databases.
  • Contributes to work planning processes, donor reports, and monitoring, evaluation, learning, and results collection efforts for projects as assigned.
  • Provides guidance to program assistants/associates for logistic and administrative tasks on specific activities. 

Secondary Responsibilities 

  • Provides general administrative support, such as: formatting documents; maintaining and sharing files and records related to International Programs department, or specific activities and projects within the department; coordinates payments for invoices and expense reports for project activities, consultants, and senior staff; coordinates procurement related to assigned activities, including development of subaward agreements. 
  • Supports new business pursuits, including contributing to and/or drafting concept notes and proposals. 
  • Supports project social media outreach and engagement and drafts social media content for projects as assigned.
  • Represents PRB at professional conferences and meetings.
  • Provides writing and other technical support as needed to other core programs. 
  • May take on a supervisory role to a lower grade staff member or consultant.

The candidate should be prepared to carry out additional tasks as they arise. 

Qualifications

PRB is seeking candidates who are quick learners, highly organized, detail oriented, resourceful, creative, and collegial. Applicants should have a bachelor’s degree or higher, fluency in English, and the ability to communicate effectively and appropriately in intercultural situations.

Required qualifications:

  • Bachelor’s degree with social sciences background and a demonstrated interest in global health/development issues, plus some relevant experience for program associate and at least 2 years of relevant experience for program coordinator;
  • Experience in global health, public health, public policy, communications, journalism, social media, international development, or public relations;
  • Fluency in English, with the ability to lead and facilitate meetings and prepare high quality correspondence and documents; 
  • Excellent writing, editing, and proofreading skills;
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines;
  • Experience providing project support to a staff of five or more employees;
  • Proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint;
  • Strong interpersonal skills to work respectfully and collegially in teams and with professionals of different levels and backgrounds, including with international partners and project funders, and to adapt to shifting priorities and timelines; 
  • Ability to work independently and as part of a team;
  • Experience organizing events;

Other desirable but not required qualifications include: 

  • Demonstrated technical experience in one or more of the following areas: FP/RH; monitoring, learning, and evaluation; MNCH; knowledge management; gender; and adaptive learning;
  • Project management experience including developing work plans and ensuring quality and timeliness of technical deliverables. 
  • Working proficiency in written and spoken French.
  • Proficiency working with MailChimp.
  • Experience working on USAID or other U.S. government-funded projects.
  • Experience working or studying in low- and middle-income countries, or providing administrative support to an international organization with staff based in low- and middle-income countries.
  • Willingness to travel—occasional travel may be involved.

The specific position title, program associate or program coordinator, will be determined based on the successful candidate’s qualifications and in alignment with PRB’s internal grade requirements. A candidate with a bachelor’s degree plus at least two years of relevant experience will be classified as a program coordinator. A candidate with a bachelor’s degree and at least four years of relevant experience will be classified as a senior program coordinator. Both titles require demonstrated cross-cultural competencies.
