Polk County Clerk of Courts is Hiring a Support Specialist/Records-Support Services Near Bartow, FL

Essential Attributes::

  • Maintain a high standard relating to professional conduct and behavior.
  • Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.
Essential Tasks::
  • Answer incoming telephone calls systematically and professionally or forward calls to the appropriate person or department for further assistance.
  • Perform services to the general public and government agencies by professionally answering questions regarding records requests.
  • Assist customers by providing photocopies of public records, Certificates of Clerk and giving instructions for submitting requests through PIER.
  • Determine amount of fees or costs owed and respond to customer.
  • Process all records requests within 1-3 days of receipt if possible.
  • Submit receipts to front counter for processing payments on completed requests (checks/escrow).
  • Verify and print microfilm/Fisch and electronic images to ensure legibility and accuracy.
  • Manage and distribute files/reels/Fisch and copies by checking them in/out of storage as requested by departments.
  • Provide customer service by answering telephone questions, emails, and correspondence in regard to procedures, guidelines, and Florida Statutes and Administrative Rules and Regulations.
  • Assist in other areas of Support Services such as Jury as needed.
  • Perform other work-related duties as required/assigned.
Minimum Skills / Qualifications::
  • High School diploma or (General Education Diploma) GED with significant history of related job responsibilities may be considered in lieu of minimum educational requirements.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write correspondence and speak effectively to customers or employees from various organizations.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to acquire or have knowledge of current procedures to accomplish tasks within areas of responsibility.
  • Ability to develop and maintain a teamwork relationship with staff.
  • Ability to work with other supervisors, staff, other agencies and the general public in a supportive, productive, cordial positive and cooperative manner.
  • Ability to read and interpret documents such as operating and procedure manuals and ability to write routine reports.
  • Ability to speak effectively, present information and respond to questions.
  • Ability to organize, prioritize and manage work to meet multiple necessary deadlines and workload.
  • Ability to accurately type 30 WPM and operate a PC and other standard office equipment.
  • Ability to maintain attention to detail and to remain calm in an anxious, intense environment.
  • Proficient use of Word and the ability to learn industry-based software.
  • Ability to work a flexible work schedule, when necessary.
  • Ability to remain flexible as conditions change and continue effective performance in the face of additional challenges.
  • Being able to work in a constant state of alertness and safe manner.
  • Knowledge of Florida statutes, County and Clerk's policies and procedures. Bilingual applicants are encouraged to apply.
