Position Overview

These positions are available immediately, as an exciting opportunity to join the staff here at PolicyLink. PolicyLink is seeking two Coordinators, to support Sustainable Cities for All (“SC4A”), a program designed to cultivate community-driven partnerships with city governments and local elected leaders to advance racial wealth equity and climate-related outcomes for Black populations. One coordinator will report to the Director of Field and Community Engagement who provides leadership and facilitation across four regional teams responsible for supporting a portfolio of five to seven local initiatives in each region (“City and Community Coordinating Committee”), totaling 20 to 25 community engagements across the program. The second coordinator will report to the Director of Policy who supports our new Sustainable Cities program designed to cultivate community-driven partnerships with city governments and local elected leaders to advance racial wealth equity and climate-related outcomes for Black populations.

Sustainable Cities for All is a national initiative that invests in transformational local solutions at the intersection of climate change and racial wealth equity by strengthening the capacity of relationships between cities and communities to co-create and implement solutions. The initiative will prioritize deep investment over four years in up to 25 cities with significant Black populations and high levels of climate vulnerability and racial wealth inequity. PolicyLink serves as the lead partner for SC4A and will coordinate the efforts of national, regional, and local partners to implement the portfolio of community engagements.

These positions are three-year termed positions with the possibility of being renewed, dependent on funding and program needs.

  • Each Coordinator will help advance the day-to-day logistics of the Sustainable Cities team. Each position will be housed under the Sustainable Cities program,
  • Each Coordinator position is responsible for supporting programmatic areas with day-to-day calendaring and meeting management, assisting with project management and research, and important communications responsibilities such as inbox management.
  • Coordinators also act as a bridge to operational functions within the organization, helping to onboard and support program staff to maximize internal finance, development, human resources, IT, and performance management systems. Sensitivity to confidential matters, a high level of professionalism, tact, and diplomacy are paramount.

Responsibilities

Administration and Operations Support

  • Manage the daily calendars of program leads and support complex scheduling.
  • Plan and coordinate meetings and events, including scheduling, reminders, preparing agendas, circulating documents, critical note-taking and tracking of action commitments, agenda preparation, researching and arranging venues and vendors, designing and executing registration processes, liaising with attendees, etc.
  • Manage operations and administrative tasks for the team, including program management (Asana), scheduling (Outlook/Doodle/Calendly).
  • Facilitating contracts and invoices, coordinating team and external expenses (Certify), etc.
  • Contribute to team and organizational planning, strategy, and evaluation, including through participating in and facilitating meetings, and tracking programmatic performance measures.
  • Provide support to webinars, presentations, and video calls, including taking notes, managing breakout rooms, and designing materials.
  • Research and prepare materials for meetings and presentations. Compile reference material, as needed.
  • Manage program-related information including an inventory of key partners and performance reporting through Salesforce CRM.

Communications

  • Manage the Director’s inbox, responding to general inquiries and elevating communications materials that require special attention.
  • Review printed materials for accuracy, grammar, and design when necessary.
  • Provide thought partnership, including writing blogs and social media posts, preparing talking points, etc.

Qualifications

  • A demonstrated and unwavering commitment to racial and economic justice.
  • 1-3 years in a similar role; experience in any of the sectors above is a plus.
  • Advanced time management and project tracking skills to support team to meet all deliverables and deadlines across multiple projects.
  • Excellent written and verbal communication
  • Excellent organizational skills and attention to detail, ability to effectively prioritize and manage multiple and sometimes competing tasks.
  • Ability to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results.
  • Advanced computer skills, including Microsoft Office, PowerPoint, Google G Suite, Zoom, and CRM such as Salesforce.
  • Basic design skills and sensibility.
  • Ability to work effectively and efficiently (both virtually and in-person) with minimal supervision.
  • Event and logistics management.
  • Outstanding interpersonal skills, including the ability to work effectively and efficiently with diverse staff and partner organizations.
  • Tact, poise, professionalism, diplomacy, and, importantly, a great sense of humor.

Work Environment

  • This position will support the Sustainable Cities for All program.
  • This role reports either to the Director of Field and Community Engagement or to the Director of Policy and Technical Assistance.
  • This position is a remote position, with travel required for periodic team gatherings.

Compensation

The salary range for this position is $70,000 – $80,000 based on the experience.
