Job Title: HR Office AdminReports To: Director of Human ResourcesPayroll Status: Non-ExemptDepartment: Human ResourcesLocation: Duluth, MN – Once a month visits to MPLS office at a minimumHours: Full TimePosition SummaryPoints North, the leading software company in the compliance and reporting space, is seeking an HR Office Admin to join its growing team. This role is responsible for supporting the day-to-day activities of the Human Resources department. They handle tasks related to personnel records, data management, policy creation, and recruitment assistance. This role is responsible for the office management of our two office locations in Duluth and Minneapolis. This role must be detail orientated, proactive, and organized. The right candidate will be able to demonstrate how their past success will transfer to Points North and how they will thrive in a growing, agile, and fast paced environment.Key Responsibilities
  • Maintain facilities management, including space planning/design, vendor contracts and relations, and facilitation of all office functions and services.
  • Manage both office locations proactively to ensure effective office spaces.
  • Act as primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests.
  • Oversee and achieve organizational goals while maintaining an efficient, productive, and positively cultured office and employee experience.
  • Act as a first response to in office IT issues by troubleshooting and rising issues to the IT Manager
  • Review mail and faxes and distribute to appropriate parties.
  • Ship collateral to marketing events.
  • Assist IT with setting up new hire laptops.
  • Maintain personnel records with correct and updated information.
  • Update internal databases with employee information.
  • Assist in updating company policies and procedures.
  • Publish and remove job advertisements.
  • Schedule job interviews and contact candidates as needed.
  • Prepare reports and presentations on HR-related metrics.
  • Develop training and onboarding material.
  • Conducts first round interviews.
  • Conducts new hire onboarding.
  • Order and distribute parking passes.
  • Test phone system, printer, and fax machine to ensure in working order.
  • Manage security log filing with Points North visitors.
  • Act as primary liaison for booking travel for airfare and lodging for employees to ensure compliance with company travel policy.
  • Support management with quarterly team meetings - coordinating space, equipment, and meals.
  • Properly track costs associated with the Office Admin procurement policy and other approved purchases.
Education and Experience
  • Bachelor’s degree preferred in Business Administration or Human Resources Management.
  • Previous experience in Human Resources, Office Management, and/or Recruiting.
