POSITION SUMMARY:

The Switchboard Communications Coordinator is responsible for managing communication, providing excellent customer service, and handling various clerical tasks related to office operations. This role is crucial for directing calls, addressing inquiries, and assisting various departments, including Human Resources, Recruitment, Coordination, and Payroll.

JOB DESCRIPTION:

1. Punctuality: Must consistently demonstrate punctuality and readiness to work at the assigned start time.

2. Telephone Etiquette: Answer phones professionally and in a timely manner, ensuring calls are directed to the appropriate departments.

3. Problem-Solving: Utilize problem-solving skills to define problems and tasks, collect data, establish facts, act, and facilitate their resolution.

4. Office Equipment Knowledge: Possess knowledge of operating office equipment, including computers, telephones, copy machines, and fax machines.

5. Privacy and Compliance: Respect patient and employee rights and privacy, ensure the security of protected information, practice ethically, and adhere to the agency’s compliance program and privacy policies.

6. Professional Demeanor: Always maintain a professional attitude and appearance.

7. Clerical Competence: Perform a variety of complicated clerical and data entry tasks efficiently, collaborating closely with the Supervisor.

8. Computer Proficiency: Ability to perform various computer functions, assisting with communication between departments and overall office operations.

RESPONSIBILITIES:

1. Execute general office duties, including scanning, faxing, filing, and data entry, to support smooth office operations.

2. Direct all incoming calls to the appropriate departments while providing exceptional customer service.

3. If unable to reach the intended party, send an email with details regarding the calls for follow-up.

4. Assist with orientation, in-service, and application processes as needed, ensuring new employees are well-informed.

5. Provide translation support and general assistance to all departments, enhancing communication and efficiency.

6. Support the Coordination Department by confirming verification and addressing missed in-services.

7. Assist with random calls, providing necessary information and assistance.

8. Manage the Call Dashboard, ensuring it is up-to-date and accurate.

9. Assist the Payroll Department with timesheet deployment and tracking, helping answer payroll-related calls and questions.

WORK ENVIRONMENT: Works in an office environment with regular exposure to staff and patient elements and occasional stress.

COGNITIVE REQUIREMENTS: Must work cooperatively with others and perform a wide variety of complex and complete tasks involving office equipment and machinery.

QUALIFICATIONS:

· High school diploma or equivalency required, or one (1) year of home care office experience. Additional education or certifications in a related field preferred.

· Strong computer skills and proficiency in common office software applications.

· Effective communication and interpersonal skills.

· Detail-oriented and capable of working in a fast-paced environment.

· Commitment to maintaining confidentiality and privacy standards.

· Punctuality, reliability, and a team-oriented mindset.

· Adaptability to pressure.

Pay: $19.00 - $21.00 per hour
