SYSTEMS AND WORKFLOW MANAGER

*Additional $1.50/hr. for bilingual (English/Spanish)*

This is an excellent opportunity for a Systems and Workflow Manager (40 hrs./wk., benefits eligible).

PURPOSE OF POSITION:

Under the direction of the Director of Clinical Informatics and in collaboration with the agency’s IT and Business Operations Team, the Systems & Workflow Manager will provide support and direction to health center staff to achieve optimization of all health center systems/platforms related to patient care. The Systems & Workflow Manager will serve as an integral member of the Patient Services team, working agency-wide to replicate best practices around EHR processes as well as workflow development, maintenance, and training for end users.

-Ability to plan and manage multiple projects, numerous processes and systems such as implementation of patient access systems, EHR system and other IT equipment.

-Demonstrated problem solving skills related to IT equipment, software systems, and workflow development. 

-Ability to create and deliver training programs. 

-Experience in Microsoft Office Products.

-Strong leadership, goal-setting and team building skills essential. 

-Ability to work independently and as a team member.

-Ability to handle sensitive information in a confidential manner.

-Broad knowledge of both medical and information technology disciplines with ability to communicate between the two disciplines. 

EDUCATION and/or EXPERIENCE: 

1. High school degree or equivalent required.

2. Three-five years in a medical environment required.

3. Minimum of three-five years experience inworking with a clinical EHR system (e.g. Entity, NexGen, EPIC) required.

4. Experience developing and implementing workflows, using all relevant office products and software. 

5. Experience facilitating training for adult learners in learning and using new skills.

6.Demonstrated supervisory experience, or working with teams, volunteers or interns required.

SUPERVISORY EXPERIENCE:

Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. 

PHYSICAL REQUIREMENTS:

 Physical demands of the position necessitate hearing, talking, handling and grasping regularly. May require lifting up to 30 pounds. Specific vision conditions include close vision reading. Requires the ability to operate a computer, telephone, fax, copy machine and adding machine or calculator. Requires the ability to operate medical equipment. 

WORKING CONDITIONS:

The position is generally performed in a medical office environment but involves frequent interruptions. The noise level is generally low to quiet. The work environment characteristics are representative of those an employee encounters while performing the essential functions of this position. Reasonable accommodations, however, may be made to enable individuals with disabilities to perform said essential functions.

 Willingness to work flexible hours, travel between clinical sites and be responsive to staff needs through either a cell phone or email. Must have own reliable transportation. This position requires traveling statewide, therefore a valid driver’s license and auto insurance in accordance with agency liability standards is required. 

Evening and/or weekend hours will be occasionally required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Systems Work: 
  • Supports, optimizes and evaluates the use of systems in health centers such as phones, telehealth platforms, MyFax etc. 
  • Consults end users to ascertain needs and to ensure that these needs are addressed in a timely manner. 
  • Assist the agency in selection of appropriate hardware and software for health centers. 
  • Implements and maintains security permissions within EHR system. 
  • Keeps up to date with new technology such as texting and telehealth platforms, on-line appointment systems and IT equipment such as scanners, printers and phones. 
  • Serves as System Administrator for Better Health (access to ticketing system to address issues on behalf of end users). 
  • Serves as primary liaison between clinical staff, PSAT, IT and Business Operations team.
  • Maintain a detailed and working knowledge base of the EHR software including templates, workflow processes and configuration. 
  • Maintains knowledge of all PPWI policies and procedures regarding health center medical processes. Works with other members of PPWI’s EHR team and center staff to implement and support new and existing policies and procedures related to EHR system. 
  • Communicate regularly with management and health center staff about changes to workflow processes and assist in documenting procedures and developing training materials. 
  • Coordinates with appropriate staff to develop and implement training programs. 
Workflows: 
  • Works closely with Clinical Informatics Specialist -RN and Cliniccal Informatics Specialist in coordinating and facilitating new-user EHR training. 
  • Maintains oversight of the development and revision process of workflows and user guides for documenting in PPWI’s EHR system. 
  • Engages with users of PPWI’s EHR system to elicit feedback of current workflows and facilitate changes to enhance the user experience. 
Project Management: 
  • Assist in coordinating internal resources for the execution of projects for the Patient Services team such as implementation, maintenance and upgrades of EHR systems. 
  • Develop a detailed project plan to monitor and track progress 
  • Track project performance, specifically to analyze the successful completion of short and long-term goals 
Other: 
  • Participates in other projects/committees as requested to contribute to the agency’s overall goals and objectives. 
  • Performs other duties as may be assigned.
