We are seeking an experienced Human Resources Operations Associate in Baltimore, Maryland.
Job Summary
The Human Resources Operations Associate is responsible for providing the VP of HR, HR Manager, and team with administrative support to carry out the daily operations and strategic goals of the HR department. Preparing, creating, and analyzing HR reports and metrics, in support of using data in HR operations. This includes creating, updating, and maintaining employee records and primary HRIS databases and spreadsheets. Assisting recruitment in posting and screening job ads and resumes, and scheduling interviews. Participating in New Employee Orientation preparation and activities. Adhering to HR processes, and procedures in collaboration with the HR team and holding one another accountable to maintaining good business practices; that support creating consistency in the HR department and in HR operations, within the agency. The Human Resources Operations Associate position plays a vital role in supporting the overarching goals of the HR department.
Essential Responsibilities:
    • Responsible for new hire onboarding and offboarding in ADP WorkForce Now, with meticulous detail and accountability for the integrity of HRIS data.
    • Main point of contract for HRIS reporting requests and working with requesters in ensuring proper understanding of data requests.
    • Handles all new hire pre-onboarding and onboarding paperwork, including I-9 compliance.
    • Creates Employee Action Forms, (EAF's), and guides managers to create EAF's when necessary. Collaborates with payroll and accounting staff to ensure proper communication of employee pay changes and employment status.
    • Assists employees with day-to-day HR questions with dignity and respect and understands how to deliver appropriate internal customer service.
    • Maintains manager and employee confidence by keeping human resources information confidential.
Employee Retention/Engagement:
    • Drive and support employee satisfaction through strategic, effective, and thoughtful communication of the "whys" behind organizational actions. Building a strong two-way rapport with staff to have a pulse on employee engagement.
    • Build employee networks and participate in tasks forces and/or committees as a means of employee feedback and involvement to support retention goals.
    • Collaborate with HR leaders and team to promote and support the goals of PPM becoming an employer of choice.
Employee Administration:
    • Answers frequently asked questions from employees regarding policies and procedures, hiring processes, etc.; referring more complex questions to the appropriate senior-level management.
    • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
    • Working knowledge of legalities of employment law.
    • Communicates information to employees and managers on hiring, FMLA, etc., and refers more complex questions to appropriate senior-level management.
Education & Experience:
    • Associate's degree required.
    • Bachelor's degree preferred.
    • Minimum 3 years of experience in Human Resources.
    • SHRM HR Certification a plus.
    • High level of experience and comfort working within ADP and Workforce Now HRIS system.
    • Experience in health care and/or nonprofit settings preferred.
Skills, Competencies, & Knowledge:
    • Clear and concise written communication skills.
    • Effective verbal communication skills including the ability to deal directly with a wide range of personality types and communicate policy interpretations/decisions effectively to diverse audiences.
    • Skill in problem-solving, non-judgmental listening, and decision-making with integrity as it relates to complex decisions.
    • Competence with Microsoft Site (Word, Excel, PowerPoint, TEAMS) preferably advanced functions such as PivotTables.
    • Ability to adhere to schedules and deadlines.
    • Performs other duties as requested or are required to meet business needs.
Other Requirements:
    • Confidentiality : Will be exposed to confidential information whose disclosure would be contrary to the best interest of the agency or employee and would be a breach of professional ethics.
    • Licenses : Possession of a valid Maryland motor vehicle operator's license and willingness to use personal vehicle in the course of employment.
    • Physical Demand : Must be able to talk, hear and read documents both on paper and on a computer screen. Must be able to operate a computer, including keyboarding with repetitive motions of both hands and wrists. Must be able to move freely throughout and between PPM locations. Work is usually performed in an office environment, and travel between locations will be necessary. During peak activity, the position may require work in excess of 8 hours per day and/or 40 hours per week, and may involve evening, weekend and/or early morning hours. Ability to lift up to 20 pounds for the occasional need.
    • Mental Demand: Use of acquired knowledge and experience, problem solving skills, organizational skills, judgment and tact. Must have ability to read, analyze and interpret complex documents, including employment law and regulations. Ability to respond effectively to sensitive inquiries or complaints. Ability to define problems, collect data, and establish facts. Must be able to function efficiently in a fast-paced environment despite distractions and interruptions.
$57,000 - $65,000 a year
