Position Title: Sales Coordinator
Job Overview:
Placers is seeking a highly organized and detail-oriented Sales and Bid Coordinator to join one of our premier clients. The ideal candidate will coordinate and manage various aspects of the sales and bid process, ensuring seamless communication between different teams and maintaining accurate records. Pay Rate: $23/hr
Responsibilities:
• Create physical job folders and set up job numbers for call-in or end-user orders (operations service calls), create new jobs in system, and establish folders.
• Work in conjunction with the Bid Coordinator to maintain the Daily Bid Log whiteboard – provide daily updates on the bid calendar board.
• Conduct twice-weekly bid coordinator meetings with estimating calendar, estimating, and sales staff.
• Obtain quotes from various vendors through online systems, email, or phone calls. Stay on top of jobs where a proposal was sent to the vendor, double-checking that the salesperson's request is comprehensive. Track proposal requests if more than three (3) days.
• Collaborate closely with the executives and other sales associates in preparing vendor quotes and assisting with customer bid preparation.
• Create and maintain the sales department sales log, generating monthly reports by salesperson, vendor, contractor, total new jobs, and jobs by state and office by the end of the first week of the following month. Create yearly reports by salesperson, vendor, contractor, and total new jobs.
• Process all sold jobs and change order folders, ensuring accuracy in system. Organize folders with all necessary information, contact general contractors for completion dates and project contracts, and input information into the Sold Log.
• Review Google Docs monthly with contracts to close the loop on Notice to Proceeds or any other loose ends needed to complete a sale fully.
• Type general correspondence, memos, charts, tables, bid responses, etc. Proofread copy for spelling, grammar, and layout, ensuring accuracy and clarity of the final copy.
• Provide a monthly list of all bids for the month and plan out the closing process.
• Provide samples to customers upon request.
  • Provide daily reminders of sold/change order jobs.
• Coordinate with Project Managers to define the scope of change orders.
• Perform other duties as assigned.
Qualifications:
• Proven experience in a similar role, preferably in a sale
• Ability to pass an extensive background check and drug screening
  • Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficient in Microsoft Office Suite and other relevant software.
• Attention to detail and high accuracy in data entry.
• Ability to work collaboratively in a team-oriented environment.
• Adaptability to a fast-paced and evolving work environment.
