Job Description:
Position summary:
  • The Operational Controls- Policy, Procedure and Documentation Specialist will focus primarily on the review, enhancement and documentation of bank policies, procedures, workflows and user guides in the lending, servicing, and deposit operations areas of the bank.
  • Emphasis will be on review and enhancement of commercial lending operational processes documentation and consumer regulations related to residential mortgage lending and servicing.
  • This position serves as a key supporting role in client’s ability to consistently deliver operational excellence through accurate documentation of processes executed by first line of defense staff at the bank and through partner fulfillment vendors.
Duties and Responsibilities:
  • Partner with Department Managers and Subject Matter Experts (SME) to ensure that policies, procedures, user guides and process flows accurately reflect required information and that supporting documents are in alignment.
  • Analyze business processes to determine documentation requirements, consistent, and concise documentation that follows a logical flow in various areas of the Bank.
  • Create new operational user guides and procedures from multiple resources, including but not limited to, regulatory guidance, documentation provided by the business units, SME interviews, process mapping, end user systems, new business operating models, partner fulfillment vendor sources, and other types of material.
  • Once changes to policies, procedures, and user guides are approved, work with responsible person to ensure updates are posted to the on-line document library and updates are communicated to bank employees.
  • As needs arise, may work on other related projects within the Operations areas of the bank.
  • Produce documentation for electronic publication.
  • Create documents that comply with client standards on language, writing style, structure, and format.
  • Participate in project teams and make recommendations on the types of documents and information necessary to achieve business goals.
  • Complete regulatory compliance and other training as assigned.
Experience and Required Skills:
  • Bachelor’s degree in English, Business, or other applicable field of study.
  • Knowledge of various areas of banking or financial service operations, including mortgage and commercial lending, deposit operations, and a strong understanding of consumer banking regulations.
  • Project management is an asset.
  • Experience in creating forms is an asset.
  • Timeline management/ability to perform comfortably in a fast-paced, deadline-oriented work environment to meet required deliverables.
  • Excellent writing and communication skills, including the ability to listen and observe.
  • Detail and process-oriented
  • Technical proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams.
  • Knowledge of Lucid Chart is an asset.
  • Must be self-directed and able to work both independently and as part of a team to meet goals, objectives and deadlines.
  • Must be organized and skilled at managing multiple priorities.
  • Maintain confidentiality of sensitive information
  • This is a Hybrid work position, currently approximately 85% remote and 15% in office (may be subject to change)
Notes:
  • Experienced procedure writer
  • 6 months contract and definitely would extend
  • Need someone with a deeper knowledge of compliance and process design
  • Involves commercial lending: help in documenting procedures (Focus)
  • Experience with mortgage or deposit operations and understanding of end-to-end process including controls.
  • 5 plus years of experience. 7 years would be ideal
  • Residential mortgage lending
  • Ideal would be if someone has experience with both areas (commercial and Residential)
  • The person would Control the backside, self checking, audit writing.
  • Inline assignments of risk areas. Correction before things get audited
  • An ideal candidate would have a background in banks over mortgage or financial companies.
  • Financial services experience with credit card would not be considered.
  • Experience with mortgage, primarily loan production, customer facing would not be considered.
  • Intermediate Teams and Excel experience is mandatory
  • Hybrid: 3 days a month (In office week: Back to back days) Preferred: Henderson, NV
  • Education: Bachelor’s degree is mandatory
  • Lucid Chart: Nice to have (New product which is replacing the old one) Knowledge on this would be a nice to have.


Pay Range: $34.00 - $36.00

The specific compensation for this position will be determined by a number of factors, including the scope, complexity and location of the role as well as the cost of labor in the market; the skills, education, training, credentials and experience of the candidate; and other conditions of employment.
