JOB OVERVIEW

The incumbent is responsible for achieving timely and effective delivery of front office services to external and internal customers. The position serves as the first point of contact with PIM Brands callers and visitor. This position must have the having the highest regard for providing the best customer experience. Position duties include greeting visitors, answering, and effectively managing phone calls, administrative work, and making appointment reservations.

DUTIES AND RESPONSIBILITIES

  • Provides general office support with a variety of clerical activities and related tasks.
  • Creating a positive experience by interacting with guests, clients and vendors on the telephone and in the reception and waiting areas.
  • Ensuring kitchens, pantry, meeting rooms, and reception areas are well-kept and maintained as well as set up for business needs.
  • Manages inventory for kitchen, office and pantry items and placers orders as needed.
  • Sorting and distributing mail to the appropriate recipient.
  • Report food safety and quality issues to Plant management and SQFP
  • Follow PIM Brands GMP rules
  • Monitor fellow employees for adherence to GMPs.
  • Advise visitors about Company policies, provide visitor paperwork and issue visitor badges
  • Responds to caller requests for general company information such as location, directions, address, fax numbers, web site, etc. and uses discretion when giving out employee or company information.
  • Supports activities of the organization such as ordering lunches, coordinating VIP tours
  • Provides them with Company's visitor policies related to GMP's, cell phone usage, workplace standards, etc.
  • Printing new hire documents and preparing onboarding packets
  • Assists in filing of HR related documents
  • Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
  • Creating Excel spreadsheets and tracking data as needed.
  • Creating and editing PowerPoint presentations as needed.
  • Monitors the good working order of office machines (copier, scanner, fax and shredder) and schedules repairs when needed.
  • Opens and closes visitor area
  • Maintains professional appearance of the lobby (plants, candy jars and display case)
  • Performing ad-hoc administrative duties and projects.

Qualifications


EDUCATION, EXPERIENCE AND TRAINING

  • Must possess strong interpersonal skills to create a pleasant experience for all customers, such as being personable, friendly and attentive.
  • AA degree or equivalent experience preferred.
  • Proven ability to handle multiple tasks with excellent communication skills required.
  • 3-5 years of experience providing administrative support or reception services in a corporate office environment.
  • Strong proficiency of Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong verbal and written communications skills.
  • Positive demeaner is crucial.
  • Excellent organization and time management skills.
  • Professional composure and attire required.
  • Ability to work in dynamic and sensitive environment.
  • Ability to use good judgement, discretion and confidentiality.
