JOB TITLE: Receptionist

JOB STATUS: Hourly – Non Exempt

GENERAL SUMMARY OF DUTIES: Performs several duties including welcomes patients and visitors by greeting and directing patients and visitors, scheduling patients and visitors, calling patients to schedule or remind them of appointments, preparing necessary forms, referring inquiries, coordinates all patient and insurance billings, answering and routing calls, making transactions, and keeping paperwork organized

SUPERVISION: Reports to the Office Manager and/ or Division Coordinator

ESSENTIAL FUNCTIONS:

Welcomes patients, visitors, pharmaceutical representatives, and others to our medical office by greeting them with a smile and pleasant demeanor both on the phone and in person; Provides exceptional customer service in a polite, friendly, positive, prompt, compassionate, and helpful manner, and deals with customer needs expeditiously; provides assistance, information, and directions when necessary

· Helps patients in distress by responding to emergencies

· Assists with ensuring that our environment is welcoming, calm, and quiet for our patients and their families

· Keeps the reception area clean, neat and organized; maintains safe, secure, healthy, and clean working environment by complying with procedures, rules, and legal regulation

· Performs clerical duties such as copying, faxing, typing letters, forms, labels, and mailings

· Respond to emails that arrive

· Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel

· Utilize our medical office software to schedule new, and follow-up, appointments for our patients; enters the appointment date and time; maintains patient accounts by obtaining, recording, and updating personal, and financial, information; collects patient charges, co-pays, co-insurance, back balances, generates a receipt for patient, posts payments, balances money at end of day against charges; being aware of delays, and communicating with patients and clinical staff

· Relays messages to staff

· Attends meetings and education workshops as required

· This job requires access to PHI (Protected Health Information), HIPAA (Health Insurance Portability and Accountability Act) training is required and HIPAA compliance is expected. Protects patients’ rights by maintaining strict confidentiality of personal, financial information, and all patient records

· Maintains operations by following policies and procedures

· Receives payments from patients, provides account balances, issues receipts, balances, and posts over the counter payments and bank cards

· Establishes payment plans to help patients manage payment of bills

· Prepares deposit summary sheet after balancing payments to receipts and is accountable for daily balance and complete check out process

· Trains appropriate personnel on computerized billing system

· Maintains petty cash fund and balances cash drawer

· Verifies insurance

Job Type: Full-time

Pay: From $15.00 per hour

Expected hours: 40 per week
