    SUMMARY:
    The Administrative Specialist provides clerical support and assistance to an assigned District Director; provides information to staff and the public, operates equipment, maintains inventory and supplies. Maintains high levels of confidentiality; exercises discretion within district policies and procedures.
    ESSENTIAL FUNCTIONS
    • Performs a variety of clerical duties related to the function/program to which assigned. Operates general office equipment (e.g., computer, copier). Exercises discretion within policies and procedures.
    • Provides information regarding programs and procedures to students, parents and public according to prescribed procedures.
    • Maintains accurate records and filing systems; updates files and other specialized records related to the function/program to which assigned. Maintains high levels of confidentiality.
    • Greets visitors in a professional and friendly manner, answers telephones and transfer calls as deemed appropriate; assists staff, students, parents and the community.
    • Creates correspondence, writes and responds to emails, processes data entry, types letters, memorandums, reports and other documents. Completes and submits district forms. Reviews and edits materials for accuracy, completeness, and conformance to District policies and procedures.
    • Assists in budget preparation; maintains budget and prepares budget variance reports throughout the year.
    • Maintains and purchases inventory and supplies. Handles processing of requisitions, purchasing, accounts payable and payroll for the related function. .
    • Manages calendars, makes appointments, schedules and coordinates a variety of meetings and events.
    • Prepares for and attends committee, staff, and other meetings; takes notes; prepares and distributes minutes and meeting materials.
    • Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.

    REQUIRED QUALIFICATIONS
    Education, Training, and Experience Guidelines:
    High School diploma or GED equivalent; AND five years of secretarial experience, AND Microsoft Office experience. Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.

    IDEAL CANDIDATES WILL HAVE THE FOLLOWING SKILLS AND ABILITIES
    • Ability to type with accuracy at a rate required to perform functions effectively at a minimum of 60 wpm.
    • Knowledge and experience with Microsoft Word, Excel and PowerPoint.
    • Ability to take dictation with accuracy at a rate required to perform functions effectively.
    • Ability to operate office equipment, including computers and computer software.
    • Ability to communicate effectively in English both verbally and in writing with students, parents and staff.
    • Ability to create and maintain accurate records and compile reports.
    • Knowledge of related District and Program policies and procedures.
    • Skill in understanding, explaining, and applying relevant rules, regulations, policies, and procedures.
    • Skill in researching and compiling data for reports, presentations, and technical documents.
    • Ability to follow verbal and written instructions and procedures.
    • Ability to provide excellent customer experiences, including but not limited to interacting tactfully and courteously with the public.

    • Ability to use initiative within organizational policies, procedures and guidelines.
