Interim House, Inc., a comprehensive substance use program for women, located in West Mt. Airy, is seeking an individual to serve as our Admissions Coordinator The person in this position will be someone responsible for the admission intake process for short and long-term residential programs, halfway house program, and outpatient programs, obtaining the initial authorization including intake documentation, and monitoring all authorizations for funding so billing for services can occur.
This individual will work closely with the Clinical Director, residential and outpatient staff as well as the PHMC Billing Coordinator to ensure collection ratio meets budgeted revenue. This person will also help with the marketing of the program to ensure flow of referrals to our programs.
QUALIFICATIONS MINIMUM:
  • Master's Degree and one year of experience in a related field; Bachelor's Degree and three years of experience in the addiction field or Associates Degree and minimum of six years of experience in a substance use setting.
  • Trained in The American Society of Addiction Medicine (ASAM)
  • Ability and skills necessary to communicate and to maintain relationships with service providers in the community.
  • Familiarity with outreach services to Community Agencies especially, Drug and Alcohol programs that refer women for treatment.
  • Knowledge of Chemical Dependency and the recovery process.
  • Valid PA Driver's license.
RESPONSIBILITIES:
  • Update staff on all scheduled admissions and discharges
  • Screen all applicants, using "Medical, Mental and Other Criteria Policy" to ensure appropriateness for program.
  • Update and maintain daily census and bed sheets
  • Provide weekly Admissions Report to program director
  • Other duties assigned by supervisor
ADMISSIONS AND INTAKE DUTIES:
  • Conduct a pre-admission phone or face-to-face interview with a prospective client and assess appropriateness for program.
  • Complete the Initial American Society of Addiction Medicine (ASAM) assessment for all admissions
  • Obtain initial authorization number on day of intake for all new admissions
  • Arrange initial drop off for new residential admissions
  • Coordinate consultations with Nurse Manager & Clinical Coordinator to ensure client meets IHI criteria for admission
  • For forensic clients who are on medication and are entering from prison, ensure client has prescription for five (5) days at time of admission.
  • Provide prospective participants with and understanding of the program, including program duration, program activities, program rules and the treatment approach/philosophy of the program. Determine that the prospective participants accept the program rules and is motivated towards recovery.
  • Distribute Admission Alert Memo and Risk Assessment to all staff on day of admission
  • Complete first section of the Bio-Psycho-Social History/Assessment within 3 days business days of admission
  • Complete Admission Intake Packet within 24 hours of admission and ensure all intake forms are correctly completed, signed and dated
  • Give new admissions Welcome Aboard Manual or IOP/OP Orientation Handbook
  • Update Welcome Aboard Manual when program policies are created and/or modified.
  • Insert new "Client Daily Activity Sheet" into the RA Log for new admissions
Funding And Authorization Duties:
  • Ensure residential/halfway house and IOP/OP programs maintain or exceed budgeted census projections
  • Ensure all newly admitted clients to the residential, IOP and OP programs are authorized for services so payment can be made
  • Update and maintain the PHMC Data Base (Client Registry) so client authorizations can be monitored and billed in a timely manner
  • Review EVS daily reports and update and monitor Authorization Tracking Sheet
  • In conjunction with the PHMC Billing Coordinator, resolve billing and authorization conflicts to ensure payment for services
  • Keep therapists abreast of all required administrative duties required of our funders and/or referral sources.
  • Enter all County funded client intake and discharge information into the PA WITS system for BHSI, Montgomery and Chester County funded clients.
Reports, Documentation and Administrative Duties:
  • Adhere to all credentialing and licensing regulations
  • Ensure program participant charts are maintained with accurate admission documentations.
  • Ensure follow-up procedure is completed for all discharged program participants.
  • Enhance, update and remain current with educational advances within the discipline and field by attending at least 12 hours of in-service or educational experience. Maintain file of all training certificates and training documentation forms.
  • Ensure participation in mandatory HIV/AIDS (6 hours) and TB/STD (4 hours) trainings within one year of hire
  • Attend staff meetings and other meetings as scheduled
  • Alert Clinical Director and/or Program Director of any "need to know" concerns regarding clients that might jeopardize the safety of the program, client or other clients.
  • Adhere to all program policies and procedures
  • Attend weekly case review meetings and consultations with the psychiatrist
  • In collaboration with clinical coordinator, gather, analyze and document assessment of FTP designated client screening tools to assist in annual report to foundation
  • Other duties assigned by Clinical Director or Program Director.
OUTREACH:
  • Assess all referrals from criminal justice agencies and ensure a determination for admission is made within two day of referral.
  • Coordinate referrals and maintain positive relationship with all IHI referral sources and funders
  • Increase referral base to outside counties to ensure projected census goals are met for all IHI program
  • Obtain all relevant client documents from referral source.
  • Attend scheduled FIR/COG Meetings
  • Maintain wait list and potential admission dates for each client.
  • Conduct referral and/or inquiry phone calls and record all contacts.
  • Other duties as assigned by supervisor or program director

  • Monday through Friday, 8:30am to 5pm
