Job Title/Position: Intake Specialist, Welcome Center Department/School: Multilingual

Pay Information: Clerical/Paraprofessional Compensation Plan Supervised By: Director, Multilingual or

Primary Purpose:

Welcome new families. Register, enroll, and collect appropriate documentation for students new to the country. Coordinate with and direct families
to the appropriate receiving campus and grade level.
This position is a grant funded position, guaranteed for the 2022-2023 and 2023-2024 school year. Funds are not guaranteed beyond this time limit.

Minimum Qualifications (Experience/Education/Certification):

High school diploma or GED and two years of related experience. Bilingual preferred. Commissioned Notary Public preferred.

Major Responsibilities:

1. Interpret, compile, and secure students’ enrollment records and files. Maintain required documentation for grant purposes.
2. Verify and record credits earned from previous schooling.
3. Send, receive, and process student records and information through the TREx system.
4. Coordinate with campus registrars and nurses.
5. Coordinate with Welcome Center staff to complete Newcomer Enrollment Tracking form.
6. Collaborate with District Information Systems Department to ensure accuracy of student information in the student management system.
7. Assist with coordinating services related to student registration, enrollment, and scheduling.
8. Perform technical aspects of the registration process, such as preparing materials and reports and performing data input.
9. Organize and maintain office supplies, newcomer supplies, and donations.
10. Perform general bookkeeping, such as processing POs and collaboratively creating budget reports.
11. Follow the Educator Code of Conduct and all policies, procedures, laws and State/Federal regulations.
12. Perform other duties as assigned.

Special Knowledge/Skills:

  • Knowledge of all applicable federal, state, and local laws, guidelines and procedures.
  • Knowledge of administrative support and file maintenance techniques.
  • Knowledge of basic accounting principles.
  • Skill in communicating effectively with others, including through the use of interpretation services and translation tools.
  • Skill in working with various forms of equipment including, but not limited to, personal computers, fax machines, calculators, printers.
  • Skill in working with word processing and spreadsheet computer applications.
  • Skill in working in collaborative team-based environments.
  • Knowledge of different cultures and awareness of current global affairs.
  • Written and verbal communication skills in English and Spanish preferred.

Supervisory Responsibilities:

None.

Working Conditions (Mental Demands/Physical Demands/Environmental Demands):

Prolonged use of computer; work regularly requires work outside the normal work week; must be able to push, pull, lift, and/or carry at least 30 lbs;
frequent in-district travel.
