PERSONAL BEST is Hiring a Property Administrator Near New York, NY

My client is a boutique property management firm serving 4 boroughs of New York including Manhattan, Brooklyn, Queens & The Bronx, they take care of properties of various sizes, ranging from luxury rentals buildings to co-operatives and condos.

They are seeking a motivated, problem-solving focused property administrator to join their team, who has a passion for all things property and is looking for an opportunity to grow and develop within a thriving company and would love to work their way up to becoming a property manager.

The company has a culture of taking initiative, asking questions and hiring people who love to learn, and thrive in a developing and growing environment.

The main focus of the role will be to support property managers and senior management with administrative duties, schedule management, organization of paperwork and other duties.

Essential Skills & Experience

  • Minimum of 2 years previous experience in an administration role related to property, compliance etc.
  • Genuine interest in the property industry and obtaining a career as a property manager in the future.
  • Knowledge of NYC building codes, violations, HSE requirements such as fire inspections.
  • Highly organised, motivated and able to work indepdendtly.
  • Previous experience preparing lease agreements
  • Ability to work to tight deadlines and metrics.
  • Confident in liaising with various departments including compliance, maintenance, accounts etc.
  • Strong calendar management abilities.
  • Strong computer skills, including Microsoft office, exel and outlook, previous experience using property software would be an advantage.
  • Forward thinking, a great problem-solver and able to work on own initiative, taking responsibility and ownership of the role.
  • Good team-work skills, able to collaborate with various departments.
  • Willing to learn, be taught and take in information and knowledge shared with you.

The Role

  • Working closely with the property managers you will assist with keeping files for each building and ensuring relevant paperwork, documents and insurances are kept up to date and on file.
  • You will work closely with the accounts team to send out correspondence via mail or email as required, relating to invoices, overdue payments including rental payments etc.
  • Answer incoming calls and direct them to right parties, taking messages and sending where needed.
  • Assist with the preparation and sending of lease agreements and contracts as needed/
  • Organise relevant inspections for buildings fire equipment and other equipment.
  • Assist with resolving violations from the city and submitting relevant paperwork showing remedial work.
  • Support property managers and senior management with scheduling meetings, creating agendas, notarizing meetings and managing calendars.
  • Keep company files up to date
  • Process incoming and outgoing mail.
  • Assist tenants/landlords where needed over the phone
  • Shadow senior property managers to learn the business and the property industry.

The company offers lots of room for growth and development, within the first 12-18 months the right candidate will be promoted to assistant property manager and the salary will increase.

The company offers 2 weeks of paid vacation time, 10 days of paid public holidays, medical, dental and vision insurance along with a 401k plan and annual performance bonus.

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
