JOB SUMMARY

Working in close collaboration with the HR Business Partners and HR Operations team, this position supports human resource services in a variety of areas with focus recruitment and staffing support, HR cost management and budget tracking and managing the Social Outings Committee. The HR Associate will work collaboratively to best align HR practices with the evolving organization needs and team-oriented structure. This position will be a brand ambassador for the company's values and culture. Helps with development and implementation of highly effective human resource business policies, processes, and employment practice. Ensures that human resource practices comply with federal and state laws.

ESSENTIAL FUNCTIONS

Associates may be assigned to specific areas of focus, but cross training in all areas is an opportunity for development and requirement of this role.

Primary areas supported or managed by the HR Associate include but are not limited to the following:

  • Recruitment & Staffing: Works with external recruiters, employment agencies, technical colleges and other sources to cost effectively source qualified candidates.
  • Supports talent acquisition with interviewing, screening and hiring processes. Facilitates the extension of employment offers and the completion of all new employee recordkeeping processes.
  • Accounting - Non-Benefits. Receive, code, and send invoices to our accounting department for payment. Manage PO's and requisitions in Net Suite. Work with Procurement on new contracts as requested. Monitoring annual budgets to track actual spend against budgeted amounts. Investigate variances in partnership with CHRO and Finance
  • Social Outings Committee: Participate in and/or lead the SOC committee for the US. Plan and gain approval for proposed SOC committees. Community Involvement Support
  • Secondary areas of responsibility for cross training include:
    • Employee Relations: Works collaboratively with HRBP's, on employment processes to build morale, increase productivity, enhance employee engagement, and preserve talent retention. Assists in facilitation of proactive communications with employees to keep employees aware of important information.
    • May support HRBPs in the implementation, follow-through and documentation of disciplinary action interventions.
    • May support HRBPs in the facilitation of employee terminations. Prepares and submits related documentation and conducts exit interviews.
    • Administer the company awards and recognition programs
    • Employee Lifecycle Changes: Prepare pay and job change letters at the request of HR Business Partners. Enter Pay changes into the HR System of record (UKG). File employee documentation in employee files
  • Benefit and Compensation Plan Administration: Works with the Total Rewards Specialist to administer the annual benefit open enrollment process. Assists with the enrollment of new employees into established benefit plans, provides benefit orientation with new employees, and assists employees with benefit-related questions. Administer company leave of absence programs. Attends regular meetings with Benefits providers to discuss plan performance and experiences. Raises common issues for long term solutions to improve the employee experience. Assist in compensation lifecycle events like merit increases, incentive plans etc..
  • Accounting - Benefits. Receive, code, audit and send benefits related invoices to our accounting department for payment. Manage Benefits related PO's and requisitions in Net Suite. Work with Procurement on new benefits contracts as requested
  • Monitoring annual budgets to track actual spend against budgeted amounts. Investigate variances in partnership with HR Operations and Finance
  • Training & Development: Manage new hire orientation and onboarding processes to ensure an excellent employee experience. Support the delivery of required training programs as requested
  • Safety and Loss Control: Facilitates the administration of loss control and workers' compensation processes and programs.
  • Will participate in projects as needed. Other duties assigned by HR Management. This position will be cross train with other offices personnel will be required.
  • Maintain accurate and up to date employee records, both electronic and paper based. Maintain confidentiality of sensitive HR information.

MINIMUM REQUIREMENTS

  • Strong self-motivation and interpersonal, analytical, and negotiation skills are required.
  • Excellent verbal and written communication skills are required.
  • Sound judgment and decision making.
  • Ability to model core values as a representative of the company.
  • Ability to communicate openly and concisely with others.
  • Ability to effectively present information and respond to questions from employees at all organizational levels.
  • Ensures confidentiality with staff members.
  • Must be well organized with extreme attention to detail.
  • Ability to prioritize and meet deadlines.
  • Ability to define issues, collect data, establish facts, and draw valid conclusions.
  • Ability to maintain confidentiality imperative
  • A minimum of two to five years of related experience and/or training or an equivalent combination of experience and education.

PREFERRED QUALIFICATIONS

  • Any HR Certifications will be a plus.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 30 pounds at times.
  • Limited travel may be required
