Responsibilities
PeopleTec is currently seeking a Protocol and Operations Specialist to support our Huntsville, AL location.
Serves as a senior Protocol Specialist within Program Executive Office, Aviation (PEO AVN) Operations, Plans, and Strategy (OPS). Serves as the primary advisor on protocol functions for Operations, and as the primary operations officer for Strategic Initiatives Group (SIG). Incumbent's recommendations provide the basis for the observance of correct protocol procedures and precedence for the serviced activity, to include the offices of the PEO, Deputy PEO, Chief of Staff, and subordinate Project Management offices.
For assigned visits, independently conceptualizes, plans, coordinates, and executes all aspects of visits of high-ranking U.S. and foreign dignitaries, and special ceremonies hosted by the senior PEO AVN leadership. Requires considerable interpretation of policies and development of very detailed plans for visits – all of which have different, unique requirements. Coordinates directly with appropriate individuals to facilitate arrangements for site and facility selection, procurement of awards, press coverage, gift exchanges, appropriate menu selections, meetings, invitations, seating arrangements, etc. Provides timely briefings to the senior PEO AVN leadership and works closely with their designated representatives to ensure personal requests are coordinated within the framework of the ceremony when feasible and proper. Serves as protocol escort for the duration of the scheduled event, providing advice and assistance as needed and making immediate corrections if necessary to allow the event to continue to a successful conclusion. This requires developing specific guidelines and procedures in administering the program. Assistance provided must always exhibit total professionalism, tact, diplomacy, and ensure a favorable impression, and absolute successful conclusions. Determines protocol support requirements for members of Congress, Presidential appointees, local community leaders, General Officers, Senior Executive Service (SES) and other executive level civilians within Department of the Army, dignitaries from foreign countries, and industry leaders. Ensures official visits, ceremonies, and functions with senior level employees are given the appropriate protocol related recognition and attention commensurate with their assigned grade levels and protocol codes. Provides recommendations and assists in the establishment of an effective protocol policy addressing the special needs of PEO AVN senior executives. Maintains close coordination with the protocol offices of Army Materiel Command (AMC), Headquarters Department of the Army (HQDA), and other organizations to exchange information and coordinate events. Responds to requests for advice/assistance in all matters/activities relative to proper protocol procedures. Ensures responses are coordinated, while maintaining confidentiality appropriate to the issue. Advice and assistance must be timely, accurate, and reflect a sound application of protocol principles. Provides both formal and informal briefings to groups and individuals which convey useful information that can be applied to specific situations the audience can reasonably anticipate encountering and to promote a more positive and informative understanding of protocol related issues. Serves as an office automation technical support expert for PEO AVN SIG. Performs office automation duties using such software applications as electronic mail, Enterprise Task Management Software Solution (ETMS2), desktop publishing, calendar, spreadsheet, database, and/or graphics. Uses Microsoft PowerPoint or other comparable graphics software to develop extensive presentation materials. Prepares recurring and one-time narrative reports and summaries, such as status of ongoing actions or closeout reports of assigned functions. Performs a wide variety of office support and administrative assistance duties in support of the PEO AVN SIG to develop smooth management of the office. Plans, coordinates, and oversees office support functions such as communications, procurement of administrative supplies and equipment, graphics support, printing, reproduction, space management, records management, and mail service. Maintains information control and tracks equipment and services. Processes incoming and outgoing materials such as ETMS2 Taskers, reports, memoranda, briefings, and other forms of written communication. Schedules appointments, coordinates meetings, and/or schedules conferences. Researches and provides background on subject matter of meetings without direction. Attends meetings, prepares meeting minutes, and follows up on action items with appropriate staff members independently.Qualifications
Required Skills:
- Must be proficient in desktop publishing, calendar coordination, spreadsheets, databases, and/or graphics.
- Must have a strong attention to detail Proficient in Microsoft Word, PowerPoint, and SharePoint
- Ability to work in a fast-paced environment
- Ability to work in a team environment
- Ability to multi-task and complete assignments on schedule Dependable self-starter with strong written and oral communication skills, and interpersonal skills
- Travel: 25%
- Must be a U.S. Citizen
- An active DoD Secret clearance is required to perform this work. Candidates are required to have an active Secret clearance upon hire, and the ability to maintain this level of clearance during their employment.
Education Requirements/Experience:
- Bachelors Degree from an accredited university with 6 years experience OR
- Masters Degree from an accredited university with 4 years experience
Desired Skills:
- Experience in Enterprise Task Management Software Solution (ETMS2)
