Service Coordinator – Grapevine, TX
Position Overview:
The Service Coordinator is primarily responsible for coordinating the diagnosis, parts ordering, and event scheduling for customer service needs in a timely manner. The Service Coordinator is responsible for managing service event projects from the point of contract through to resolution of a completed service event. Also manages scheduling of shipments and service tech events, sets up service paperwork and ensures that each detail in a service event is addressed. Works closely with the assigned sales consultants and service techs. Must be able to work well in a team environment.
Responsibilities/Accountabilities:
  • Review service needs on contracted orders from sales team for details related to service needs
  • Schedule service events with customers and service techs
  • Purchase products from Pella manufacturing facilities and other vendors as necessary; order service/recovery parts
  • Schedule delivery of completed product
  • Confirm service dates with customers and sales reps
  • Alert warehouse team to pull orders for service techs
  •  Follow up with customers to ensure satisfactory completion and collect final payments
  • Manage recovery process for shortages and damaged product
  •  Establish and maintain key contact with customers and sales reps
  • Record key dates and activities related to service events

  • Proficiency with Microsoft Office and smart devices, and ability to learn internal software programs and applications
  • Focused on details and follow through
  • Quickly earn trust and credibility with sales team and prospective customers
  • Provide superb customer service in all customer interactions
  • Skilled at relating to a variety of people - balances poise and integrity with an assertive sense of urgency
  • Adept in a fast-paced environment with a high sense of urgency
  • Effectively learn how to communicate within the subjects of very basic technical concepts related to window and door replacement

  • Work well without close supervision but always keep manager informed
Supervisory Responsibilities

Qualifications

Education and/or Experience
One to two years related experience and/or training, or equivalent combination of education and experience. Must have the ability to manage multiple tasks in an environment of constant interruptions and be able to prioritize responsibilities.
Language and Communication Skills
Ability to read and analyze documents related to contracts and work documents. Ability to write reports and business correspondence. Ability to verbally present information and respond to questions from customers, managers, and the general public.
 Professional Skills
 Must present a clean and neat physical appearance and strictly abide by company dress code serving as a role model for other employees.
Reasoning Abilities
Ability to solve practical and arithmetic problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit or stand at a desk and utilize a computer and a telephone. Must be able to perform data entry for extended hours; use hands to input information in a computer; reach with hands and arms; and talk or hear. The employee is occasionally required to bend, lift, stoop, kneel while training on products and handling paperwork. The employee must regularly lift and/or move up to 10 pounds and occasionally move up to 25 pounds using proper lifting techniques. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus. The noise level in the work environment is usually between low to moderate in administrative offices.
Travel
Must be available to travel to occasional training and company meeting events. Must be able to drive to office and event locations.
