Pediatric Associates of Whidbey Island is Hiring a Medical Receptionist Near Oak Harbor, WA

DESCRIPTION AND RESPONSIBILITIES:

  • Perform check-in and check-out process for patients.
  • Schedule patients as needed for appointments.
  • Ensure that appropriate insurance, patient, parent information is collected to ensure accurate billing.
  • Validation of insurance information.
  • Knowledge of office’s OSHA and HIPAA Policies and able to carry out such policy.
  • Knowledge of office safety rules and regulations and SDS sheets for products used by the practice.

DUTIES: General

  • Answer Phones, schedule patients, transfer to triage nurse or appropriate provider to address call.
  • Check-In patients: get copies of needed information for visit, as well as update of ANITA and EHR.

o Collection of co-pay (if appropriate)
 Charge Fee if co-pay not collected at time of service.
o Collection of past due amounts
o Insurance validation, scan cards into EHR, update in ANITA.
o PCP changes as needed for patient care.

  • Check-out: Schedule any follow-up appointments or up-coming appointments.
  • Reschedule patients based on clinic need or change of provider schedule.
  • Provider Tasks / Phone notes

o Prescription requests
o Form requests
o Etc.

  • Scan items & empty digital management of items scanned (bucket)
  • All other duties as directed by Officer manager

DUTIES: Check-In

  • Listen to messages and do call-backs
  • Ensure newborn records are in the EHR for that day’s newborn appointments.
  • Print fee tickets for appointments added to that day

o Ensure correct information for insurance etc.

  • Prepare call list for next day, make reminder calls.
  • Stuff folders for next day appointments with fee tickets and other needed items.
  • Collect intake forms

o Change information in ANITA and EHR.
o Scan form into EHR.

  • Front counter – address needs of patients and visitors arriving to clinic.
  • C-Section forms signed and fax back to Whidbey Family Birthplace. Ensure provider schedule blocked for C-section.

DUTIES: General

  • Provider Outbox – Items completed by provider ready for the patient / family

o Scan paperwork into EHR
o Fax paperwork, as needed.
o Call patients for pick-up of prescriptions.

  • Money Drawer, count daily in AM & reconcile in PM.
  • Attend the copier/fax for paper.'
