Job Title: Payroll Supervisor

FLSA Classification: Exempt

Reporting Relationship: Accounting Manager

SUMMARY

Pearls Farm Labor, Inc. is actively looking qualified Payroll Supervisor to assist in all activities regarding the management of employee compensation in the company. You will undertake a variety of tasks such as entering payroll information, calculating wages, and making payments.

An excellent Payroll Supervisor has a great understanding of the concept of confidentiality. You will be experienced in entering data with attention to detail and will have good math skills to make the necessary calculations. The ideal candidate will be a thorough professional with good communication abilities.

The goal is to carry out all payroll procedures with speed and accuracy.

RESPONSIBILITIES:

· Manage compensation packages using Data Tech payroll software.

· Updates payroll records introducing changes in exemptions such as (child support, wage withholding required by (IRS) for its acronym in English., deductions, loans, etc. insurance, coverage, tax deductions savings and department/division transfers.

· Prepares reports compiling summary of any payroll related data for Accounting Manager.

· Processes information for hourly rates, salaries, commissions, bonuses, or other compensation changes.

· Resolves discrepancies in payroll by collecting and analyzing information and correcting the issues immediately.

· Provides payroll information by responding to questions and requests that are related to payroll.

· Process all the W2’s, print them and distribute them to employees before the January 31 St. deadline.

· Works with Human Resources to configure and process final hours and complete termination and resignation paychecks.

· Oversee the entire payroll process on a daily basis and make sure that the Payroll Assistants are completing error free work.

· Assist in invoicing to make sure that all accounts receivable is coming into the company in a timely manner.

· Manage and take charge of the weekly scheduled payroll meetings to improve the process of payroll by bringing in new ideas and having the payroll department participate and share ideas.

· As a leader it is your duty to create a positive work environment, positive work culture and encourage and promote teamwork with all company departments.

· Collect and verify timekeeping information for all employees.

· Calculate pay according to hours worked incorporating leaves and overtime.

· Manage and calculate taxes and deductions.

· Update paper and electronic payroll records by entering adjustments on pay rates, employee status changes etc.

· Calculate unemployment and severance payments.

· Deal with complaints and questions regarding payroll from employees and upper management.

· Investigate and resolve any discrepancies in payroll.

· Prepare and submit reports with payroll information to Accounting Manager.

REQUIREMENTS AND SKILLS

· Proven experience as payroll clerk

· Familiarity with general accounting principles

· Experience in data collection, entry, and reporting with great attention to detail and confidentiality.

· Solid knowledge of relevant legislation, policies and regulations

· Computer savvy with working knowledge of relevant software (e.g., Data Tech)

· Exquisite math and numerical skills

· Outstanding organizational and time management skills

· Excellent communication abilities with aptitude in problem-solving

· High school diploma or equivalent; BSc/BA in accounting/business administration is a plus.

· Monday to Friday 8am to 5pm

· Occasional weekends

Physical Requirements:

Sitting and Standing: The role is often performed in an office setting and may require the incumbent to stand for periods of up to 3 hours in a day and sit at a desk at a computer for up to 6 hours a day.

Manual Dexterity: Handling paperwork, typing, feel; reach with hands and arms; and using computer software with precise finger movements and coordination.

Visual Acuity: Reading websites, documents, spreadsheets, emails and agreements requires good eyesight. Payroll Supervisor should be able to focus on details and read small print.

  • Mobility: While the role is primarily sedentary, some mobility is necessary. The employee may need to move between departments, attend meetings, or access filing cabinets.

2. Communication: Clear verbal and written communication is crucial. Employee must be able to effectively talk and hear. Payroll Supervisor interact with colleagues, so effective communication is essential. The role may require frequent communication in person and by telephone.

3. Equipment Operation: The role may require frequent operation of standard office equipment, such as telephones and computers.

  • Lifting: The employee may occasionally be required to stand and walk. The employee must frequently lift and/or move up to 10 pounds.
