Peaceful Living is seeking a Assistant Day Program Manager / Program Specialist. The Assistant Day Program Manager works directly with the Day Program manager to supervise the activities, care and services provided to the individuals served in the day programs, licensed under the 2380 regulations. This position also provides for and promotes the welfare, well-being, care and programmatic needs of individuals that we support, according to the philosophy, mission and vision of Peaceful Living. This position will also maintain a caseload of individuals to act as the assigned Program Specialist, completing regulatory paperwork and participating in the Individual Support Plan as required in accordance with regulations.

Essential Job Functions:

  • In collaboration with the Manager, Supervises Direct Support Professionals, monitoring performance and providing corrective action (up to and including recommendation of termination), as needed.
  • Works alongside Manager to oversee daily operations of the entire day program, ensuring quality care and services.
  • Assists in creating and overseeing the staff schedule, ensuring regulatory and budgetary compliance at each site.
  • Monitors requests for time off, including vacation, sick, holiday, personal, bereavement leave as well as requests Unprotected Leave to ensure adherence to Peaceful Living policies and procedures, working with the Day Program Manager and Director of Day Programs to consider requests for time off approving in a fair and consistent manner.
  • Assists in reviewing time and attendance records, to ensure compliance with Peaceful Living's Attendance Policy
  • Oversees and responsible for the documentation at the day program ensuring compliance including but not limited to: goal documentation, behavior tracking, progress notes, community outing logs, medication administration records
  • Ensure proper follow up to individual incidents in accordance with the Incident Management Bulletin and the Incident Management Policy.
  • Ensure that the day program is kept clean and sanitary environment
  • Interview new candidates for hire and provide site specific training for all new hires and Direct Support Professionals as needed, based on the needs of the men and women served as well as the needs of the program.
  • Oversee and direct the functions of volunteers and student interns
  • Oversee and monitor the use of the program's petty cash as needed
  • Coordinates and complete assessment for each individual, as required by regulation.
  • In conjunction with the Interdisciplinary Team (IDT), participates in the development of the ISP, ISP annual update and ISP revision
  • Fulfills the role of "plan lead", relating to development, annual update and revision of the ISP; and ISP review and revision. Attends the ISP meetings for each individual on their caseload
  • After ISP is created by Supports Coordinator (SC), reviews the ISP, annual updates and revisions for content accuracy. Reporting content discrepancies to the SC and other IDT members, as applicable.
  • Reviews ISP with the individual and documents the review accordingly. Provides documentation of review to the SC and IDT members, providing the option to decline the ISP review documentation, as per regulatory guidelines.
  • Assists in overseeing the implementation of the ISP as written, by supervising, monitoring and evaluating services provided to the individual.
  • Assists in developing and overseeing the proper documentation of program goals and outcomes identified in ISP, by reviewing, and signing the documentation of an individual's participation and progress toward outcomes, and ensure active treatment.
  • Coordinates all services (including behavioral supports) provided to the individual in alignment with their ISP and recommends revisions to services or outcomes identified in the ISP, as needed, to the SC and IDT members.
  • Communicates all changes related to the individuals' needs to the SC, and all other IDT members as applicable and provides onsite training as needed.
  • Coordinates the training of Direct Support Professionals of health and safety needs relevant to each individual and the outcomes and services identified in their ISP.
  • Works with Manager to bring in new admissions to Day Program, including but not limited to: coordinating transitional visits, and collecting documentation needed prior to admission to ensure regulatory compliance.
  • In conjunction with county and state officials, works to ensure proper billing for each person on their caseload.

Education/Experience:

A master's degree or above from an accredited college or university and 1-year work experience working directly with individuals with an intellectual disability. A bachelor's degree from an accredited college or university and 2 years work experience working directly with individuals with an intellectual disability; associate's degree or 60 credit hours from an accredited college or university and 4 years work experience working directly with individuals with an intellectual disability.
