Job Title: Assistant Director of Finance

Department: Accounting

Reports To: Director of Finance

FLSA Status: Salary-Exempt

SUMMARY

Directs financial activities of the organization by performing the following duties personally or through subordinate supervisors:

ESSENTIAL DUTIES

  • Recruit, hire, train and develop Accounting associates.
  • Compose and deliver performance reviews and disciplinary actions to Accounting associates as required.
  • Establish goals and provide feedback to Accounting associates.
  • Conduct departmental meetings and individual “rap” sessions with Accounting associates.
  • Prepare and record monthly adjusting and accrual entries in compliance with Generally Accepted Accounting Principles.
  • Assist Director of Finance in monthly, quarterly, and annual preparation of Financial Statements and other subsequent reports and analysis.
  • Prepare and distribute all monthly Sales Tax Exempt reports for the appropriate state agency in a timely manner.
  • Ensure that the hotel is in compliance with all state and local laws and regulations regarding tax collection and reporting.
  • Reconcile cash deposits to bank posted deposits.
  • Prepare change orders.
  • Prepare daily income journal and distribute daily report.
  • Reconcile all inventory accounts monthly. Includes monthly and quarterly.
  • Prepare schedules as requested by independent auditors to substantiate General Ledger balances at year-end.
  • Prepare and approve all purchase requisitions made by the Accounting department for supplies and other purchases.
  • Prepare and distribute A&P Food Charges report daily.
  • Reconcile TA commissions both group and individual.
  • Prepare Debits versus Credits report.
  • Assist Director of Finance in administering Hotel Operating Procedures and Internal Controls.
  • Comply with all state and federal laws regarding hotel operations, licensing agreements, and financial reporting.
  • Requires regular and prompt attendance as well as the ability to work the schedule as defined and overtime as required.
  • Performs related duties as assigned.

SUPERVISORY RESPONSIBILITIES

Manages the hourly associates in Accounting, and is responsible for the overall direction, coordination, and evaluation of this unit. Carries out supervisory duties in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS

The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE

Bachelor’s Degree (B.A.) in Accounting or related field from four-year college or university; or two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions.

NOTICE: The hotel business functions seven days a week, 24 hours a day. All associates must realize this fact and be aware that at any time it may be necessary to move an associate from their accustomed shift as business demands. In addition, you understand that business demands the amount of hours you work, and that some weeks you may be scheduled less than 40 hours.
