Partners is Hiring a BWPO Practice Assistant II, Clinical Neurology Near Boston, MA

Description:

Overview: Working with the assigned Division clinicians in the Department of Neurology (DON), the incumbent provides clinical care coordination for the Division and does medication prior authorizations. Requires ability to manage patient information confidentially and in compliance with all Hospital requirements. Must have the ability to manage confidential and sensitive matters with discretion and tact and must have a good sense of urgency in order to prioritize the demands of a large and very busy clinical Division.

ØThis role, manages Epic inbasket messages and telephone calls, including setting up appointments and any tests for office and outpatient consultations.

ØThe role confirms patients appointments, reschedules appointments and ensure the providers schedules are filled.

ØHas a complete understanding of the appointment (EPIC). Must be able to schedule, cancel, bump, link and reschedule appointments based on based on acuity, urgency, and evolving priority of patient and physician needs.

ØAssumes responsibility for each telephone message, determining nature and urgency of the call, relaying message to physicians or designate and following through quickly, efficiently and appropriately. Positive interactions with patients are critical, as the individual in this position not only represents the physicians but the department.

ØMust maintain and manage patient medical records. Must review charts prior to patient appointments checking for test results or reports. Assumes responsibility for obtaining diagnostic reports such as laboratory and radiology results as well as operative notes. Follows up and obtains all missing and outstanding reports and assures timely disposition with full documentation.

ØDoes medication refills and medication prior authorization for patients.

ØReviews various forms received, fills them, routes them to the right provider and closes the loop on them.

ØRequires the ability to work as a team member in the Division. The Administrative Assistant is required to cover for other Administrative Assistants during illness and vacation.

ØMust be able to complete general office assignments i.e.: typing, faxing, etc.

ØPerform duties under moderate supervision with intermediate to advanced proficiency in administrativeskills.

ØProvide cross coverage asneeded.

ØAssist with special projects asdirected.

ØFollow HIPAA guidelines for the management of patient privacy andconfidentiality.

Other duties, asassigned.

Qualifications:

Level of education required:

  • Minimum of a high school diploma orGED.

Work experience required:

  • Minimum two years applicable work experiencerequired.
  • Some additional training in office systems or other post high school educationpreferred.

Technical skills required:

  • Knowledge of performing medication prior authorizations, practice operations andstandards.
  • Understanding of procedures including filing, copying, scanning, printing, andfaxing.
  • Phone skills : Ability to use phone system (answer and screen calls, put on hold), handle more complex calls and give more detailedinformation.
  • Verbal skills : Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise manner.
  • Organization Skills : Ability to manage work processes in a neat and orderly way and to sort and alphabetize. Ability to manage multiple tasks effectively, follow established protocols, and work withinsystems.
  • Writing Skills : Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages. May respond directly on behalf of manager/provider without direction orinstruction.
  • System Skills : Ability to type and enter data effectively and at a more advancedlevel.
    • Intermediate level computer skills including the ability to use word processing, spreadsheet, database and presentation applications.
    • Intermediate understanding and use of medicalterminology.
    • Intermediate comprehension of billing and fiscalinformation.
    • Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission andHIPAA.
