Paragon ID is Hiring an Office Administrator Near Junction, VT

The Office Administrator provides support to the local sales and finance team to ensure a smooth reconciliation of finances each month. Daily responsibilities for this position include data entry such as shipping document creation and data input to sales invoices, and accounts payables. Each month, this position will also support month-end closing through responsibilities such as goods-in-transit calculation and bank statement reconciliation.

Essential Functions and Responsibilities:

  • Partner with business leaders on organizational design, career development, workforce planning,
  • Ensure timely input of sales invoices and supporting audit packets are in good standing.
  • Ensure all accounts payable invoices as received are processed.
  • Back up support to Staff Accountant for Cash Balance Reporting plan.
  • Create packing slips and commercial invoices for shipping.
  • Assist Accounts Manager with securing freight quotes and inputs data into Freight Cost tracker for approval.
  • Track all freight for proof of delivery and to ensure timely input of all sales.
  • Coordinate all shipping needs for the site.
  • Assist Accounts Manager with production package creation. Initially by creating PO’s but could include populating parts of the CPS’ in the future.
  • P-Card reconciliation.
  • Perform other duties to support Staff Accountant as back up as they are assigned.
  • Assist with matching costs against sales invoices and calculating goods-in-transit on Sales Flash Report, completed during each month end cycle with the support of Accounts Manager.
  • Bank statement reconciliation with supporting documentation.
  • Prepare supporting documentation for annual audit and budget process.
  • Perform other duties as assigned.

Education and/or Experience

Bachelor’s Degree and 2 years experience in Business or Human Resources, or related discipline OR at a High school diploma and relevant experience in business environment required OR a combination of education and related working experience from with comparable knowledge and skills can be acquired.

Preferred Skills and Experience

  • General ledger experience
  • Accounting experience in a production/manufacturing setting
  • Experience with Sage or similar accounting software

Physical Requirements/Working Conditions:

While performing duties of this job, the employee is predominately functioning in a sedentary light office position with high frequency of keyboarding, and computer use. Must be able to lift up to 15 pounds.

Supervision Level

This person reports directly to the Financial Controller.
