- Schedule all call-in and online service appointments according to company protocol
- Communicate with customers to schedule follow-up appointments in a timely matter
- Proactively schedule all maintenance services in a timely matter
- Dispatch and debrief with service technicians between calls
- Answer multi-line phone system and route calls as necessary
- Communicate with the warehouse manager to ensure necessary materials are available
- Provide weekly reports to management
- Issue POs and order materials as needed
- Other administrative office duties as required
- Excellent verbal and written communication skills. Must be able to calmly and clearly communicate with customers, vendors and coworkers.
- Must be able to multi task and prioritize work according to the needs of our customers.
- Must be comfortable with computers and able to adapt to new software programs. Experience with Service Titan is preferred.
- Must be able to work independently and problem solve, but also able to collaborate with the team.
- Ability to operate office equipment (e.g., copier, printer, fax, multi-line phone system)
- Minimum high school diploma or GED required
- 2 years dispatch experience preferred
- 2 years customer service experience required
- Experience working in an office setting preferred
- Knowledge of the HVAC industry preferred
- Regularly required to remain seated in a normal position for long periods of time
- Regularly required to walk about
- Regularly required to maintain balance while walking, standing, crouching, or running
- Routinely required to reach up and out with hands and arms
- constantly communicates with internal and external customers in person and via telephone. Must be able to exchange accurate information in these situations.
- Regularly required to use hands to grasp objects, type, pick up objects, move objects, or hold objects
- Occasionally required to stoop, kneel, crouch, and/or crawl
- Occasionally required to lift up to 15 pounds and carry a distance of 10 feet
- Occasionally required to push and/or pull up to 15 pounds a distance of 10 feet
- Routinely required to stand for long periods of time
- Constantly identifies and detects written information on equipment labels, written communication, forms and other labels/documents
- Constantly operates a computer and other office machinery such as copy machine and calculator.
