Destination Geneva National seeks an Executive Event Manager (EMM) to join our exceptional team in providing recreation, relaxation, and world-class hospitality to our guests and members. Located in Lake Geneva, Wisconsin’s premier vacation destination, our Clubhouse, hotel, and exquisite dining outlets present the ideal venues for hosting weddings, corporate events, and social gatherings. The EMM is responsible for the day-to-day planning and execution of events, which includes coordinating logistics, managing event staff, and ensuring that all aspects of an event run smoothly. KEY RESPONSIBILITIESPrimary responsibilities include, but are not limited to, the following:Lead the planning and execution of all events, including weddings, corporate meetings, conferences, and social gatherings.Collaborate with clients to understand their vision and objectives, ensuring all details are meticulously planned and executed.Develop comprehensive event plans, timelines, and budgets, ensuring adherence to all specifications and financial constraints.Serve as the primary point of contact for clients, providing exceptional service and support throughout the event planning process.Conduct site visits and meetings with clients to showcase the resort's facilities and discuss event logistics.Foster strong relationships with clients to encourage repeat business and positive referrals.Lead and mentor a team of event managers, ensuring high performance and professional development.Coordinate with various departments, including Banquets, Culinary, Housekeeping, and Building Maintenance to ensure seamless event execution.Conduct regular team meetings to review upcoming events, delegate tasks, and address any challenges.Identify, negotiate, and manage relationships with external vendors and suppliers.Ensure all vendor services are delivered to the highest standards and within budget.Oversee the procurement of event materials, ensuring timely delivery and quality control.Develop and implement standard operating procedures for event management, ensuring consistency and efficiency.Monitor event activities to ensure compliance with company policies, health and safety regulations, and legal requirements.Evaluate event outcomes, gather client feedback, and implement improvements for future events.Prepare and manage event budgets, ensuring all expenses are tracked and within approved limits.Generate detailed financial reports for each event, including revenue, costs, and profitability analysis.Identify opportunities for cost savings and revenue enhancement through strategic planning and negotiation.EDUCATION/EXPERIENCEFour-year college degree in Hospitality Management, Event Planning, or a related field (or the equivalent).Minimum five years’ experience in event management, food and beverage, sales and marketing, or related professional area, ideally in a luxury hotel or resort setting.Proven track record of successfully planning and executing high-profile events.Exceptional organizational and multitasking skills, with the ability to manage multiple events simultaneously.Strong leadership and team management abilities.Excellent interpersonal and communication skills, with a customer-focused approach.Proficiency in event management software (i.e., Delphi/Salesforce) and Microsoft Office Suite.Flexibility to work evenings, weekends, and holidays as required.SUCCESS FACTORSStrong attention to detailStrategic thinkerExcellent organizational skillsProven track record in event management within a luxury hotel or resort settingAbility to manage a diverse range of events from intimate gatherings to large-scale festivals or conferences.Exceptional communication skills and a style that convey knowledge, professionalism, and courtesy.Ability to meet deadlines while all while multitasking a number of projects on a daily basisProficient computer skills; Work, Excel, Power Point, DelphiExperience or knowledge of hotel operationsAbility to work a varying schedule based on hotel needsWORKING CONDITIONS AND PHYSICAL DEMANDSUse of computer keyboardInteract verbally and onlineAccess to meeting rooms & golf coursesOccasional light lifting and event set-upSoftware to include but not be limited to Microsoft Office, Delphi, PMS systems, Proposal Path
