Job Functions / Responsibilities

As the PACCAR Event Specialist, you’ll provide event management services for executive meetings including the annual Stockholder Meeting. The position will also be responsible for coordinating all trips utilizing PACCAR assets. In the event management role, attention to detail and self-initiated planning for potential event variations or disruptions is essential. The anticipatory planning mindset is key to success in planning for executive meetings. For the trip coordination portion, attention to detail and strong interpersonal skills will be essential.


Duties:

  • Event Management:
    • Destination research and venue sourcing
    • Research and source vendors
    • Manage contract review with internal stakeholders.
    • Manage outside vendors (rentals, AV providers, catering teams, etc.).
    • Plan and manage logistics of domestic and international events including venue selection, food and beverage planning, A/V arrangements, and coordination of event materials and communications.
    • Manage related budgeting and forecasting for events.
    • Reconcile event charges including cross-charging of other departments.
    • Manage dynamic teams for various events, with both internal and external team members.
    • Manage communication to all stakeholders (in-person, phone and electronically) to both internal and external customers, including PACCAR Board Members.
  • Coordinate trips involving corporate lodge and yacht:
    • Act as liaison between
      • Staff/crew
      • Hosts/trip coordinators
      • Hotel
      • Ground transportation
    • Maintain trip information and details throughout season.
    • Update SharePoint sites, host/guest instructions.
    • Interact with and assist customers at all levels within the organization.

Qualifications & Skills

  • 2-4 years of event or hospitality industry experience.
  • Bachelor's degree required
  • Must be detail-oriented, with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
  • Must be a self-starter, with the ability to work well under pressure, work independently with limited supervision and have solid problem-solving, judgment and decision-making skills.
  • Excellent customer service and interpersonal skills as the position will be interacting with senior leadership and the PACCAR Board of Directors.
  • Demonstrated ability to establish a positive working relationship with internal and external customers.
  • Contract negotiation and budget management experience
  • Ability to travel domestically and internationally as needed up to 20% as well as to work evenings and weekends based upon event demand.
  • Must possess excellent written and oral communication skills
  • Applicant must have excellent MS Office suite skills (Word, Excel, Outlook) and be very comfortable working in a Windows environment.
  • SharePoint site experience, creation experience is a plus.
  • Microsoft Teams, Microsoft Live Events, Microsoft Webinars, and Microsoft Stream experience is a plus.
